Responsibilities:
- Strategic Calendar Management: Expertly orchestrate the CEO's complex schedule, including Board meetings, investor relations, and strategic planning sessions. Demonstrate sound judgment in prioritizing commitments and maintaining schedule flexibility.
- Board & Stakeholder Relations: Serve as a sophisticated liaison between the CEO, Board members, and key stakeholders. Manage high-level communications with precision and diplomatic finesse.
- Executive Travel & Logistics: Coordinate complex international travel arrangements, ensuring seamless experiences and contingency planning. Handle sensitive documentation and maintain detailed expense records.
- Strategic Support: Lead preparation for Board meetings, executive presentations, and strategic initiatives. Provide comprehensive meeting management, including detailed follow-up and execution tracking.
- Digital Information Management: Implement and maintain advanced digital systems for document management, utilizing current technologies to enhance efficiency and accessibility.
- Executive Office Operations: Proactively manage office dynamics and resources, ensuring a professional and productive environment that reflects executive-level standards.
- Special Projects & Analysis: Drive high-priority initiatives requiring sophisticated analysis, research, and project management skills. Demonstrate ability to work independently on complex assignments.
- Confidentiality & Discretion: Exercise impeccable judgment in handling sensitive corporate information and maintaining strict confidentiality at the highest organizational level.
- Executive Time Optimization: Serve as a sophisticated gatekeeper, demonstrating excellent judgment in managing access to the CEO and ensuring focus on strategic priorities.
Qualifications:
- Bachelor's degree in Business Administration or related field
- 10-15 years of executive assistant experience, with at least 5 years supporting C-suite executives
- Advanced proficiency in Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel
- Experience with board management and governance processes
- Exceptional written and verbal communication skills
- Strong project management and organizational abilities
- Proven track record of maintaining confidentiality and exercising discretion
- Experience with executive travel planning and international logistics
- Ability to work flexible hours as needed
