Job Description
We are looking for a detail-oriented and proactive receptionist in the Construction/Contractor industry, based in Sacramento, California, who will also be performing administrative tasks including managing data entry and sorting mail. As an integral part of our office team, your role is to provide assistance to the office manager, handle field service calls, and type up orders and service orders as needed.
Key Responsibilities:
Front line-
Manage office reception area- Handle all incoming calls
Handle incoming and outgoing mail, ensuring it is sorted and distributed in a timely manner.
Conduct data entry tasks with accuracy and efficiency, ensuring all information is up-to-date and easily accessible.
Assist the Office Manager in day-to-day administrative duties to ensure smooth and efficient operations.
Answer, screen, and forward incoming phone calls while providing necessary information.
Receive and process field service calls, record client information and requirements.
Generate and type up specific orders and service orders as required.
Ideal candidates should have strong interpersonal and organizational skills, a welcoming disposition, and a proactive mentality. Proficiency in using office software tools, multi-tasking, and maintaining professionalism and confidentiality are key aspects of this position.
• Ability to use various Computer Programs efficiently is mandatory
• Proficiency in Customer Relationship Management (CRM) software is essential
• Excellent communication skills, particularly in answering inbound calls
• Ability to handle Billing Functions effectively
• Experience in Clerical Duties is necessary
• Proficiency in Microsoft Excel is mandatory
• Strong Data Entry skills are required
• Ability to answer and handle queries professionally and promptly
