Job Summary
The Receptionist is the first point of contact for our clients, partners, and visitors. This role is critical in creating a welcoming and professional environment for those seeking assistance. The Receptionist will handle front desk operations, manage phone lines, provide information about our services, and support administrative tasks. The ideal candidate will have excellent interpersonal skills, a compassionate demeanor, and a commitment to serving vulnerable populations.
Key Responsibilities
- Front Desk Operations: Greet clients, visitors, and staff in a friendly, professional, and compassionate manner.
- Phone and Email Management: Answer incoming calls, respond to inquiries, and direct calls or emails to the appropriate staff members.
- Client Support: Provide information about the organizations services and programs and assist clients with intake forms and appointments.
- Administrative Support: Assist with data entry, filing, copying, and other general office tasks.
- Resource Coordination: Maintain a list of community resources and services for client referrals; distribute informational materials as needed.
- Office Organization: Ensure the reception area and lobby are clean, organized, and stocked with necessary materials.
- Confidentiality: Handle sensitive client information with the highest level of confidentiality and professionalism.
- Collaboration: Work closely with program staff to provide seamless support to clients and ensure efficient office operations.
Qualifications
- High school diploma or equivalent required; additional education or certification in office administration is a plus.
- Previous experience as a receptionist, administrative assistant, or in a customer service role preferred, especially within a nonprofit or human services setting.
- Strong verbal and written communication skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Compassionate, patient, and empathetic approach when working with diverse and vulnerable populations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic data entry skills.
Working Conditions
- This position is primarily based at the front desk of our main office.
