We are seeking an experienced HR and Payroll Manager to oversee full-cycle multi-location, multistate HR and payroll operations for our organization of fewer than 200 employees. The ideal candidate will have extensive expertise with ADP Workforce Now (WFN) and a proven track record in managing HR and payroll with a smaller organization. This role requires a strong ability to navigate complex HR and payroll systems, ensure compliance, and collaborate across departments to support both employees and leadership.
Key Responsibilities:
Payroll Management:
- Administer and process bi-weekly payroll for employees across multiple states and locations using ADP WFN.
- Handle all aspects of payroll, including deductions for benefits, garnishments, and PTO management.
- Reconcile payroll records and manage year-end reporting such as W-2s.
- Accurately post payroll data to the General Ledger and provide detailed reports to accounting and leadership.
- Calculate and input commissions, annual bonuses, and performance-related salary changes.
HR Management:
- Oversee full-cycle HR processes, including recruitment, onboarding, performance management, and terminations.
- Coordinate annual performance review cycles and maintain accurate records of salary updates and promotions in ADP WFN.
- Serve as a resource for employee relations, mediating conflicts, resolving HR inquiries, and fostering a positive work environment.
- Update and enforce HR policies to ensure compliance with federal, state, and local labor laws.
Benefits Administration:
- Lead Open Enrollment and manage ongoing benefits administration, including health insurance, 401(k), FMLA, workers’ compensation, and disability.
- Maintain the Benefits Dashboard in ADP and liaise with benefits providers and brokers to ensure accuracy and compliance.
- Process benefits provider invoices and post them to the General Ledger while analyzing and reporting costs to subsidiary controllers.
- Provide training to managers and employees on payroll and benefits processes.
Regulatory Compliance:
- Administer and audit workers’ compensation claims, disability claims, and FMLA, ensuring timely resolutions and accurate reporting.
- Coordinate employee handbook reviews and updates to reflect current policies and regulations.
- Prepare for audits related to corporate taxes, general liability, employee benefits, and 401(k) plans.
Accounting Collaboration:
- Assist the accounting team with payroll tax reporting, benefit plan audits, and financial analysis related to payroll and employee benefits.
- Support projects such as workers’ compensation and general liability insurance renewals.
- Act as co-administrator for the company’s credit card program.
Employee Engagement:
- Develop and implement programs to enhance employee engagement and satisfaction.
- Partner with leadership to create professional development opportunities and foster a culture of recognition and growth.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field.
- Minimum of 8–10 years of HR and payroll experience in multistate, multi-location environments.
- Expertise in ADP Workforce Now (WFN) is mandatory.
- Experience in family-owned or private equity-owned organizations preferred.
- Knowledge of general accounting principles and collaboration with finance teams.
- HR certifications such as PHR or SHRM-CP are a strong plus.
- Exceptional organizational, communication, and interpersonal skills.
