Job Summary

3TG Staffing Solutions is seeking a highly organized and detail-oriented Executive Assistant to provide exceptional administrative support to our executive team. The ideal candidate will be a proactive problem-solver, capable of handling various tasks with precision and confidentiality. The Executive Assistant will play a key role in ensuring the smooth operation of the executive office, managing schedules, coordinating meetings, and handling communication on behalf of the executives.

Duties and Responsibilities

  • Calendar management: Efficiently managing and coordinating executive calendars, including scheduling appointments, meetings, and conferences.
  • Anticipate and resolve scheduling conflicts to ensure optimal use of executive time
  • Act as a primary point of contact between executives and internal/external stakeholders.
  • Draft and edit emails, correspondence, and other documents on behalf of executives.
  • Organize and coordinate meetings, ensuring all necessary resources are available.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Arrange complex and detailed travel itineraries, including flights, accommodations, and transportation.
  • Prepare travel-related documents and ensure executives are well-prepared for their trips.
  • Organize and maintain electronic and physical files, ensuring easy access to important documents.
  • Assist in the creation, formatting, and editing of reports and presentations.
  • Handle sensitive information with the utmost discretion and maintain a high level of confidentiality.

Qualifications

  • At least 3 years of previous Admin experience or Executive Admin. Experience
  • Excellent organizational and time-management skills.
  • BA in Business Administration or Communications (highly preferred)
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Exceptional attention to detail and accuracy.
  • Proactive and able to work independently
