Job Summary:
The Executive Assistant will play a vital role in ensuring the smooth operation of our office and the effectiveness of our executives. This position requires a detail-oriented professional with a proactive mindset and strong organizational skills. The ideal candidate will have 1-2 years of experience in an executive assistant role and be proficient with MS Office products.

Job Responsibilities:
  • Scheduling & Calendar Management: Coordinate and manage the calendars of executives, scheduling meetings and appointments while prioritizing urgent requests.
  • Meeting Coordination: Organize and prepare materials for meetings, including drafting agendas, and following up on action items.
  • Communication: Serve as the primary point of contact for internal and external communications, demonstrating professionalism and discretion in all interactions.
  • Office Management: Oversee daily office operations, ensuring a well-organized and efficient workspace. Maintain an inventory of office supplies and place orders as needed.
  • Accounting: Assist with basic accounting tasks such as expense reports, invoice processing, and budget tracking to support financial management.
  • Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation, while adhering to budget guidelines.
  • Project Support: Provide administrative support for special projects and initiatives, assisting executives in research, data entry, and other tasks as required.

Qualifications:
  • 1-2 years of experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with attention to detail.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • A proactive approach to problem-solving and the ability to work both independently and as part of a team.
