Job Responsibilities:
- Scheduling & Calendar Management: Coordinate and manage the calendars of executives, scheduling meetings and appointments while prioritizing urgent requests.
- Meeting Coordination: Organize and prepare materials for meetings, including drafting agendas, and following up on action items.
- Communication: Serve as the primary point of contact for internal and external communications, demonstrating professionalism and discretion in all interactions.
- Office Management: Oversee daily office operations, ensuring a well-organized and efficient workspace. Maintain an inventory of office supplies and place orders as needed.
- Accounting: Assist with basic accounting tasks such as expense reports, invoice processing, and budget tracking to support financial management.
- Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation, while adhering to budget guidelines.
- Project Support: Provide administrative support for special projects and initiatives, assisting executives in research, data entry, and other tasks as required.
Qualifications:
- 1-2 years of experience as an Executive Assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with attention to detail.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- A proactive approach to problem-solving and the ability to work both independently and as part of a team.
