Overview

EX1 is looking for an energetic and dynamic Executive Assistant to support the CEO in staying organized and contributing to the efficiency of our business by providing personalized and timely support. The ideal candidate is resourceful, innovative, proactive, and acts with discretion and confidentiality. They must think independently to make decisions under pressure and have good communication skills to share information with their supervisor efficiently and effectively.

Responsibilities:

·       Manages the CEO’s calendar through meeting coordination and scheduling

·       Complete a wide variety of administrative tasks that facilitate the Executive’s ability to effectively lead the organization

·       Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when           needed

·       Aid in moving initiatives forward by tracking deadlines, milestones and facilitating follow-ups

·       Open, sort and distribute incoming correspondence, including faxes and email

·       Format information for internal and external communication – memos, emails, presentations, and reports

·       Maintains accurate confidential files and data records

·       Coordinate travel arrangements and prepare detailed itineraries

·        Arrange special events and projects; provide event management support as requested

·        Develop briefing for weekly Executive Team meetings

·        Works with EX1’S subsidiaries (HumanTouch, CORAS and Plasticity) staff at all levels

·        Provide operational support on projects and other practice building efforts as needed

·        Perform other responsibilities and duties, as assigned

·        Excellent verbal, written, and interpersonal skills

·        Strong attention to detail and organizational skills

·        Extreme proficiency in Microsoft Office Suite or related software program

·        Ability to negotiate and settle differences quickly and peacefully

·        Strong time management skills

·        Ability to handle confidential information with discretion

·        Excellent customer service skills

·        Strong multitasking skills and being able to work well under pressure

·        Ability to learn quickly and to creatively solve new problems

·        Strong work ethic

 

Physical Requirements:

·        Prolonged periods sitting at a desk and working on a computer

·        Must be able to lift up to 15 pounds at times

Preferred Qualifications:

·        2-3 years of experience as an Executive Assistant or in a related field

·        Degree preferred in Information Technology, Business, or related field

Required Qualifications:

·        Authorization to work in the United States

·        Ability to pass a moderate internal background check

 

Schedule: 5 days in-office, Monday-Friday. 9am-5pm EST.
