Key Responsibilities:
- Administrative Support:
- Manage and organize schedules, appointments, and meetings for executives or department heads.
- Prepare and distribute memos, emails, reports, and other correspondence.
- Maintain and update office records, files, and databases.
- Communication:
- Serve as the first point of contact for phone calls, emails, and visitors.
- Handle incoming and outgoing communications, ensuring accurate and timely responses.
- Draft, proofread, and edit documents as needed.
- Meeting Coordination:
- Schedule, prepare agendas, and take minutes for meetings.
- Coordinate logistics for meetings, including booking rooms, arranging refreshments, and setting up equipment.
- Office Management:
- Order and maintain inventory of office supplies.
- Assist in organizing and maintaining a clean and efficient workspace.
- Confidentiality:
- Handle sensitive information with the utmost discretion and confidentiality.
- Special Projects:
- Provide support for special events, initiatives, or projects as assigned.
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management abilities.
- Attention to detail and problem-solving skills.
