We are a small but growing recruiting agency transitioning to a Recruitment Process Outsourcing (RPO) model. We specialize in supporting diverse nonprofits and startups with culturally aligned talent acquisition solutions. We are seeking a Recruiting Admin/Data Entry Specialist to provide vital administrative and data management support. This role will be key in ensuring smooth operations, accurate data handling, and an exceptional experience for clients and candidates alike.

Key Responsibilities

Administrative Support
  • Organize and maintain recruitment-related documents such as job descriptions, offer letters, and candidate evaluation forms.
  • Schedule interviews, team meetings, and onboarding sessions with candidates and clients.
  • Manage compliance records and ensure alignment with legal, client, and diversity hiring standards.
Data Entry and Database Management
  • Input, update, and maintain accurate records in Applicant Tracking Systems (ATS) and Customer Relationship Management (CRM) tools.
  • Post job openings on various platforms, ensuring alignment with client branding and messaging.
  • Track recruitment metrics, including time-to-hire, diversity benchmarks, and pipeline progress.
Recruitment Process Support
  • Assist recruiters with pre-screening applications based on predefined criteria.
  • Conduct reference checks and verify candidate documentation.
  • Collaborate with recruiters to source candidates from job boards and diverse talent networks.
Communication and Coordination
  • Send interview confirmations, follow-up emails, and other candidate communication.
  • Assist with preparing and sharing client reports and updates.
  • Act as a point of contact for scheduling and coordination between clients, candidates, and internal teams.
Reporting and Analysis
  • Generate weekly and monthly recruitment performance reports.
  • Monitor and report on hiring metrics to support the agency's and clients' goals.
  • Prepare custom reports for clients, summarizing hiring trends and cultural alignment assessments.
Technology and Tools Management
  • Support ATS and CRM updates and ensure proper functionality.
  • Provide basic troubleshooting for recruitment tools and platforms.
  • Assist with integrating new technologies to streamline recruitment processes.
DEI-Focused Support
  • Ensure job postings and communication materials reflect inclusive language and cultural alignment.
  • Assist in identifying platforms and networks for sourcing diverse talent.
  • Track and report progress toward client diversity hiring objectives.

Qualifications

Required Skills and Experience
  • Experience in administrative support, data entry, or a related role (recruitment experience preferred).
  • Knowledge of Applicant Tracking Systems (ATS) and CRM tools (e.g., Bullhorn, Greenhouse, we use Crelate).
  • Strong organizational skills and attention to detail, with a focus on accuracy in data management.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks and manage multiple projects in a fast-paced environment.
Preferred Skills and Attributes
  • Familiarity with diversity, equity, and inclusion (DEI) principles and practices in hiring.
  • Knowledge of nonprofit and startup cultures, with a focus on culturally aligned recruitment.
  • Proficiency in using Excel, Google Sheets, and reporting tools for data tracking and analysis.
  • Problem-solving mindset and ability to work collaboratively in a team-oriented environment.
