Position Overview:  

JKR Windows is seeking a talented Executive Assistant to be a literal arm/extension of the Executive Team. You will aid in freeing up their time in order for them to deliver on their highest impact actions for the business. You may do this by researching needs of the team and being the voice of the people, defending their calendar from redundant tasks, using the delegating power of the executive team to optimize the effectiveness of the Operations and Sales Leadership Teams, coordinating and executing events, and bringing fresh/creative energy to the current Admin operating procedure. As the liaison between the Executive Team to our Clients, Suppliers, Installation teams, Sales and Op's leaders, and even personal contacts...you'll play a pivotal role in ensuring that each project they embark on is worth their time, executed seamlessly, in a timely manner, and to the highest standards of quality.

The Ideal Executive Assistant is a Swiss-Army-Knife and is multi-talented. Their individual Responsibilities and Duties could include, but are not limited to, the following: 

  1. Calendar Management: Schedule, coordinate, and confirm meetings, appointments, and events.
  2. Email Management: Screen, prioritize, and respond to emails on behalf of the executive.
  3. Document Preparation: Draft correspondence, memos, presentations, Job offers and reports.
  4. Record Keeping: Organize and maintain files, documents, and databases, both physical and digital.
  5. Meeting Support: Prepare agendas, take notes, and follow up on action items.
  6. Act as a point of contact between the executive and internal/external stakeholders.
  7. Manage phone calls, messages, and inquiries, redirecting them as needed.
  8. Handle sensitive information with discretion and confidentiality.
  9. Book flights, hotels, and transportation for business trips.
  10. Create detailed travel itineraries and ensure all necessary documents are prepared (e.g., visas, tickets).
  11. Handle changes or cancellations as needed.
  12. Organize and coordinate internal meetings, off-site events, and conferences.
  13. Arrange catering, audiovisual equipment, and logistics for meetings/events.
  14. Assist with tracking and managing small projects or initiatives.
  15. Monitor deadlines and progress for deliverables involving the executive.
  16. Occasionally handle personal errands or tasks (e.g., scheduling personal appointments, managing household staff).
  17. Manage executive's personal calendar, if requested.
  18. Process expense reports and reimbursements.
  19. Manage budgets for events, travel, or office supplies.
  20. Track invoices and payments for relevant departments.
  21. Facilitate communication between the executive and their team or departments.
  22. Provide support to team members when needed (e.g., preparing for team meetings).
  23. Address and resolve scheduling conflicts, travel disruptions, or other issues proactively.
  24. Anticipate the executive’s needs and provide solutions before problems arise.
  25. Oversee office supplies and equipment relevant to the executive’s workflow. 
  26. Ensure the executive’s workspace is organized and functional.
  27. Stay updated on company policies, industry trends, and best practices to better support the executive.
  28. Train or mentor junior administrative staff, if applicable.
  29. Manage ad hoc requests from the executive or other team members.
  30. Perform research and gather data to support decision-making.


Position Requirements:  

  • Previous Executive Assistant experience preferred, but not required.
  • Bachelor's Degree or Equivalent education experience preferred, but not required.
  • Valid driver's license and working personal transportation.
  • Willingness to travel if necessary (seldom)
  • Background check will be performed.
  • Must be able to complete applicable training and exceed provided performance metrics.


Compensation and Benefits:

Compensation will be commensurate with previous experience and merit, and will be salaried between $55,000-65,000/year. Benefits including health insurance, dental insurance, vision insurance, and life insurance will be provided and subsidized by the company.
