12/15/2024Lake Forest School District 67 is seeking a full-time 10-month Office Assistant at Everett Elementary School.

Description: The School Office Assistant is responsible for ensuring the smooth operation of the school office by managing daily administrative tasks, including maintaining records, scheduling appointments, and facilitating communication between staff, students, and parents. Key responsibilities include handling inquiries, supporting teachers with administrative needs, coordinating events and activities, managing student records, processing paperwork, and assisting with budget management. The School Office Assistant will contribute to creating a welcoming environment in the school office and play a vital role in supporting the overall efficiency of the educational setting.

Essential Functions:
  • Responsible for performing copy work as needed and work processing as needed.
  • Depending on provided training, utilizes and trouble shoots various technologies and software applications as needed.
  • Performs various office duties including filing as instructed.
  • Performs various tasks for teachers as needed as approved by the supervisor. (i.e. field trip scheduling, substitute interface, Fine Arts programs, scheduling buses for various field trips)
  • Sorts interdepartmental and outside mail
  • Receives and routes incoming calls as needed
  • Orders supplies for the school office and processes purchase orders
  • Welcomes visitors to the school, assists visitors with Verkada sign-in system as needed and directs visitors to appropriate location
  • Process changes in transportation ridership as needed
  • Assumes office responsibilities for the administrative assistant as needed
  • Performs all other reasonable duties as assigned by the principal
  • Maintains the work room by keeping it supplied with paper, office supplies, etc.
  • Maintains the copy machines and calling when service is needed
  • Greets visitors and monitors the guest sign in/sign out log by updating PowerSchool with late arrivals or early dismissals
  • Organize and order supplies for the Staff Lounge.
  • Assist the principal with special projects.
  • Interact with students on a daily basis and drop off items from home to their classroom
  • Create student lunch count sheets and ensure that lunch counts are correct each day
  • Create new lunch cards for lunch staff when cards are missing or damaged
  • Design the music show programs
  • Place all the school end of year orders
  • Assist and help organize the Student Birthday Lunch and Bulletin Board.
  • Assume responsibility as a point person for Fire Drills.
  • Responsible for student attendance in PowerSchool and follows up with parents as needed
  • Communicates via walkie talkie to various trained staff in urgent or emergency student situations
  • Steps in as recess or lunch supervisor as needed

Qualifications:
Education, Experience, and Licensure (required and preferred)
  • High School Diploma or GED, required
  • Bachelor's Degree, preferred
  • 3-5 years secretarial or clerical experience in a school or district-office setting, preferred

  • Ability to interact and communicate (verbally and in writing) effectively with a variety of audiences
  • Strong interpersonal, collaboration, and organizational skills
  • Ability to prioritize workflow, problem-solve, adapt to change, and meet deadlines
  • Proficiency with Microsoft Office Suite/Google Workspace and school-based programs such as PowerSchool
  • Works with speed, attention to detail, confidentiality and consistency
  • Comfortable and pleasant demeanor in very active environments
  • Maintain professional appearance

Physical Demands & Work Environment:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk or hear, and taste or smell. The employee frequently is required to use hands to handle or feel materials. The employee is occasionally required to climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

In the work environment, the employee is regularly exposed to video display and regularly works in office environmental conditions. The employee occasionally works in the evenings or on weekends. The employee is occasionally exposed to outdoor weather conditions and occasionally works with the use of a personal vehicle. The employee will have contact with the public which requires appropriate demeanor and apparel. The noise level in the work environment is usually moderate.
