About the role

As an Office Manager, the position is responsible for the management of our Georgetown office administrative tasks. This individual will serve as the main contact of the office and will assist with staff management, office operations, event planning, organization, customer service, and other duties as assigned. This position requires a minimum of three (3) years of experience implementing methods and systems for office management duties.

Responsibilities
  • Work cooperatively with all levels of employees, management, clients, and agencies.
  • Contributes to team effort by accomplishing related results, as needed.
  • Answering calls and emails from clients, and external vendors, directing them to relevant staff
  • Assist Project Managers, and staff with school district security badge requirements.
  • Provide direct administrative support as necessary, including scheduling group meetings, booking travel, maintaining calendars, ad hoc research, as well as mailing and shipping packages.
  • Oversee and maintain office equipment for interrupted function, identify and fulfill office supply needs, maintain and manage vendors and coordinate food delivery as needed.
  • Maintain office efficiency, by planning and implementing office systems, layout, equipment and supply procurement.
  • Manage aspects of the office's space planning, (moves, adds, changes to workstations) and provide answers, resources and solutions as requested.
  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
  • Identify opportunities for process and office management improvements, and design and implement new systems as needed.
  • Works with Human Resources to onboard new hires including ordering of business cards.
  • Plan and oversee all office events, including team building events, new hire luncheons, happy hours, Fun Committee events, etc. and responsible for tracking/submitting expenses for these events.
  • Inventory, order, and stock all office/kitchen/safety supplies.
  • Coordinate with property manager, cleaning service, security service, and repair services.
  • Manage office keypad security system, virtual cards, and holiday schedules.
  • Setup users for and manage printer and plotter credentials.
  • Manage the office calendar including scheduling all internal and external events.
  • Establish relationships for and coordinate office community outreach events and communications.
  • Provide assistance with Airbase, Erastus, and Paylocity.
  • Assist office principal with any special projects.
  • Participate in office interviews requested by Principal and Human Resources.
  • Manage the office environment and welcome all guests and vendors.
  • Answer incoming calls and check/distribute mail daily.
  • Create and maintain emergency situation protocols.

Reports

Office Manager will report to the Administrative Director.
