The HR Specialist; Leaves & Accommodations will report to the HR Manager;
Leaves & Accommodations is responsible for overseeing the coordination and management of employee leave of absence and disability related accommodation requests in alignment with our business core values. In addition, this role serves as a resource for both employees and supervisors consultation and guidance within the complex arena of leaves and accommodations.
Pay: $70,000 / Year
DUTIES AND RESPONSIBILITIES:
- Respond to employee inquiries regarding the leave of absence or accommodation process and company policies.
- Advise and provide guidance to supervisors regarding leave laws and employee protection.
- Act as a liaison between employees on leave and their supervisor.
- Collaborate with Employee Relations and HR Manager to create strategy when managing performance of an employee with a current or previous disability.
- Monitor employee absenteeism to determine if a leave of absence event should be launched vs taking corrective action.
- Create employee “timelines” for legal review on litigated cases involving disability discrimination or retaliation.
- Launch accommodation requests through Absence Management vendor as needed.
- Monitor incoming leave claims and provide oversight of HR Assistant to ensure. administrative tasks are completed timely:
- Assist employees with filing leave or accommodation claims.
- Ensure Payroll System is updated with leave or return from leave employee status.
- Ensure Payroll System is updated with the correct “Reports To” field as employees commence and return from leave.
- Ensure Department heads are notified when employees commence on and return from leave.
- Complete assigned tasks from Absence Management vendor which may consist of evaluating drafts of decision/approvals.
- Save documents to employee’s electronic file.
- Monitor employees on leave with housing to send written correspondence regarding the collection of rent.
- Collaborate with outsourced absence management company to oversee the certification and designation of all leaves of absences and accommodation requests:
- Ensure all leaves are properly designated (FMLA/CFRA/PDL/ADA/Personal).
- Notify supervisor of employee LOA dates and updates.
- Track due dates of required doctor’s notes/medical certifications.
- Ensure interactive meetings are scheduled in a timely manor.
- Send written correspondence to employees as a Final Request when unresponsive.
- Ensure receipt of release to work documentation.
- Assist with monitoring of the “Leave In-Box” and communicate changes to applicable FPI Team.
- Attend and facilitate ADA interactive meetings with employees requesting an accommodation.
- Audit & adjust employee timecards to ensure correct wages, PTO and bonus payments.
- Monitor the leave calendar to provide support as employees return from leave.
- Oversee modified duty requests to guide managers through the interactive process and collect required Temporary Modified Duty documents.
- Run weekly reports and complete audits to ensure Payroll system and Absence Management records are in sync.
- Assist with the evaluation of the hardship analysis through guidance from the HR Manager.
- Analyze and monitor intermittent leave usage against frequency in medical certification.
- Ensure security of sensitive and confidential medical information
- Assist HR Manager with the analysis and coordination of alternative position placement.
- Escalate complex issues to HR Manager and seek guidance as necessary.
- Provide support to HR Manager with any other assigned duties.
POSITION REQUIREMENTS
- Minimum 4 years' experience in a similar Human Resources Specialist role, preferably within a Property Management or similar organization. Experience gained in other industries will also be considered.
- High School diploma or equivalency certificate required. HR Certification and/or a college degree in a relatable discipline preferred. An equivalent combination of education and work experience will also be considered.
- May Require a Valid Driver's License, as well as: a good driving record, current motor vehicle insurance which meets State requirements, and an operable vehicle that meets FPI's Driving Standards and Personal Vehicle Use policy.
- Must be proficient in speaking, reading, and writing in English.
- Strong computer skills (MS Office, Google Apps, Adobe, email, internet, various HRIS/HCM systems).
- Position is telecommuting approved. Employees must be disciplined and have the ability and set-up to work from home, have a dedicated space to efficiently and ergonomically perform job duties, and must be able to abide by FPI's Telecommuting policies.
