Our client in Blawnox, PA is hiring for a contract to hire Administrative Assistant. We are seeking a highly organized and friendly Administrative Assistant to serve as the first point of contact for our company. The ideal candidate will be responsible for managing the front desk, greeting visitors, answering phone calls, and providing administrative support. Additionally, this role will involve assisting with typing quotes, estimating HVAC and boiler services, and ensuring the smooth flow of office operations. Hours are full time, Monday - Friday, 8AM - 5PM. This is a professional environment. Pay depends on experience: $20-$24


Key Responsibilities:


Reception & Greeting:

Serve as the first point of contact for all visitors, greeting them in a warm and professional manner. Ensure proper security procedures by unlocking the front and side doors and allowing access to visitors.


Phone Management:

Answer and direct phone calls promptly and professionally, ensuring that all incoming inquiries are handled with priority. Maintain the main company phone line and take messages when necessary.


Administrative Support:

Assist with typing and formatting quotes for potential clients. Work closely with the estimating team to generate HVAC and boiler service quotes, ensuring accuracy and clarity.


Estimating Support:

Assist the estimating team with HVAC and boiler-related tasks, ensuring that all necessary documentation is in place for accurate quotes and job estimates.


Office Organization:

Maintain a clean, welcoming, and organized front desk area. Manage office supplies and ensure necessary materials are stocked.


Security:

Monitor and manage the unlocking of doors, ensuring only authorized personnel or visitors have access to designated areas.


Additional Duties:

Provide additional administrative and clerical support as needed, including filing, data entry, scheduling appointments, and other office tasks.

Required Skills and Qualifications:


High school diploma or equivalent; additional administrative or receptionist training is a plus.

Previous experience in a receptionist or administrative role is preferred.

Strong verbal and written communication skills.

Excellent organizational and multitasking abilities.

Proficiency with Microsoft Office (Word, Excel, Outlook) or similar software.

Strong phone etiquette and ability to handle high call volume.

Ability to maintain confidentiality and follow office security protocols.

Basic knowledge of HVAC and boiler systems or willingness to learn.
