Executive Assistant with Political and Campaign Experience


Position Overview:


We are seeking a highly organized and experienced Executive Assistant with a strong background in politics and political campaigns. This role involves providing comprehensive administrative support to a high-level political executive, with a particular emphasis on calendar management and the coordination of multiple calendars.


Key Responsibilities:


  • Advanced Calendar Management: Masterfully manage and synchronize multiple calendars for the executive, including personal, professional, and campaign events.
  • Schedule and reschedule appointments, ensuring optimal use of time for both daily administrative tasks and strategic campaign activities.
  • Administrative Support: Handle all forms of communication, including emails, phone calls, and correspondence, with discretion and efficiency. Coordinate travel logistics and ensure all arrangements align with the executive's calendar.
  • Campaign Coordination: Assist in the planning and execution of political campaigns, integrating campaign events seamlessly into the executive's schedule. Manage volunteer schedules and coordinate with campaign staff to avoid conflicts.
  • Research and Data Management: Conduct research on political issues to inform scheduling decisions and campaign strategies. Manage databases for fundraising, voter contacts, and campaign analytics, keeping the executive's engagements aligned with campaign goals.
  • Public Relations: Serve as a liaison with media, community leaders, and party officials, scheduling engagements and preparing for public appearances while considering the broader calendar context.
  • Budget Oversight: Monitor campaign and office expenses, ensuring budget considerations do not conflict with scheduled activities.
  • Confidentiality: Maintain confidentiality on sensitive information, especially concerning calendar details and strategic meetings.


Qualifications:


  • Proven experience as an Executive Assistant or similar role within a political or campaign environment, with a strong track record in calendar management.
  • Deep understanding of political processes, campaign strategies, and election laws.
  • Exceptional organizational skills with the ability to multitask, prioritize, and manage multiple, complex schedules under pressure.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite, particularly Outlook or similar calendar management tools, and familiarity with CRM software for political campaigns.
  • Bachelor’s degree in Political Science, Communications, or a related field preferred.
  • Ability to work flexible hours, particularly during peak campaign periods.

• Strong skills in drafting documents, reports, and letters using Microsoft Word.
• Ability to schedule appointments accurately and efficiently using digital tools and calendars.
