We are in search of a dedicated Medical Administrative Assistant to become part of our team. With duties that span across multiple departments, this role is pivotal to our operations in the healthcare industry, stationed in Los Angeles, California. The Medical Administrative Assistant will contribute to the smooth running of our organization by carrying out a variety of tasks including clerical and administrative duties, answering calls, and maintaining accurate records. This opportunity offers a contract for a permanent position.
Responsibilities:
• Efficiently handle customer service inquiries and issues, ensuring a high level of customer satisfaction.
• Actively manage and maintain meeting schedules and appointment calendars.
• Accurately process and maintain customer credit applications and records.
• Provide administrative support across various departments such as Environmental Services, Transportation Services, Procurement Services, Switchboard Operations, Security Operations, Property Management, Dietary Services Employee Benefits-(HR/Payroll Services), and Medical Records.
• Assist with the coordination of tasks on behalf of the Director and/or divisional management staff.
• Offer support to other Directors and Managers as needed, including facilitation of meetings and coordination in various programs.
• Oversee staff timekeeping across all departments, and perform departmental scheduling duties.
• Prepare Personnel Action Notice (PAN) forms for appropriate signature and approval.
• Provide backup administrative support to the Executive Office and divisional management staff as required.
• Employ various computer programs and software such as Allscripts, Banner Ads, Blood Glucose, Cerner Technologies for efficient operation.• Job Title: Medical Administrative Assistant
• A minimum of 2 years of experience in a similar role or related healthcare setting
• Proficiency in healthcare management systems such as Allscripts and Cerner Technologies
• Experience with billing functions and handling insurance matters in a healthcare setting
• Familiarity with medical terminologies and clinical trial operations
• Proficiency in using computer programs for data entry and administrative tasks
• Experience in answering inbound calls, providing excellent patient service, and handling patient inquiries
• Ability to interpret and create charts and graphs, preferably in a medical or healthcare context
• Knowledge of blood glucose monitoring and management
• Strong customer service skills, with a focus on providing patient-centered care
• Demonstrated ability to multitask and handle high-stress situations in a detail-oriented and calm manner
• Excellent written and verbal communication skills
• Ability to maintain patient confidentiality and comply with all HIPAA regulations
• Experience with banner ads, preferably in a healthcare setting
• High school diploma or equivalent required; additional certification or training in Medical Administration is a plus.
