Key Responsibilities
- Administrative Support: Provide general administrative support to the team and management, including scheduling meetings, preparing documents, and handling correspondence.
- Calendar Management: Organize and maintain calendars for senior staff, ensuring all appointments and meetings are scheduled efficiently.
- File Management: Maintain both physical and digital files, ensuring proper filing, retrieval, and confidentiality of sensitive information.
- Communication: Answer and direct phone calls, emails, and other communications, ensuring timely responses and effective communication with clients, vendors, and internal teams.
- Office Coordination: Oversee office supplies, inventory, and equipment, making necessary orders and ensuring the office is stocked and operational.
- Customer Service: Greet visitors and clients, offering a positive and professional experience.
- Project Assistance: Assist with ongoing projects by conducting research, preparing documents, and coordinating activities as needed.
Skills, Knowledge and Expertise
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information.
- Excellent written and verbal communication skills.
- Time management and multitasking ability.
