We are seeking a Receptionist for our operations based in Newport Beach, California. As a Receptionist, you will be the first point of contact for our company, managing front desk activities, including distributing correspondence and redirecting phone calls. This role offers a contract to permanent employment opportunity.
Responsibilities:
• Manage multi-line phone system, ensuring all calls are answered promptly and directed to the appropriate personnel.
• Deliver exceptional customer service, addressing customer inquiries and resolving any issues.
• Maintain accurate data entry records, ensuring all customer information is up-to-date.
• Manage email correspondence, ensuring all messages are answered in a timely and detail oriented manner.
• Utilize interpersonal skills to interact with clients, colleagues, and visitors.
• Proficient in using Microsoft Excel, Outlook, and Word to manage and organize files and schedules.
• Responsible for maintaining the kitchen area, ensuring it is fully stocked and clean.
• Manage mail distribution, ensuring all mail is correctly sorted and delivered.
• Schedule appointments using Microsoft Outlook, ensuring all meetings are accurately recorded and updated as needed.
• Organize files and documents, ensuring all paperwork is correctly filed and easily accessible.

• Bachelor Degree is preferred

• Proficient in Microsoft Word
• Ability to organize files efficiently
• Proven experience in scheduling appointments
