RESPONSIBILITIES:
- Answer and direct incoming phone calls promptly and professionally.
- Greet and assist visitors, ensuring they receive a positive first impression of the company.
- Process and track incoming payments and ensure timely follow-up on any outstanding invoices.
- Assist in the preparation and processing of invoices for outgoing rentals and services.
- Maintain accurate records of account transactions and client interactions.
- Input and submit invoices into OpenInvoice, ensuring compliance with company policies and procedures.
- Verify the accuracy of invoices and resolve discrepancies in a timely manner.
- Assist the Office Manager with various administrative tasks, including scheduling meetings and managing office supplies.
- Maintain organized filing systems for both physical and electronic documents.
- Prepare and distribute reports as needed to support the office's operational functions.
- Provide excellent customer service to clients and vendors, addressing inquiries and resolving issues swiftly.
- Foster positive relationships with clients through effective communication and follow-up.
QUALIFICATIONS:
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Previous experience as a receptionist or in a similar administrative role, preferably in the oil and gas industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software/ERP systems.
- Familiarity with OpenInvoice or similar invoicing systems is highly desirable.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
