Trilagen is seeking a highly organized and proactive Executive Assistant to support our executive team. In this critical role, you will be responsible for managing the day-to-day operations and administrative tasks to ensure the smooth functioning of our leadership activities. Your responsibilities will encompass scheduling meetings, coordinating travel arrangements, preparing reports, and acting as a point of contact for internal and external stakeholders. Responsibilities
- Manage and maintain executive calendars, scheduling appointments and meetings as required.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare and distribute meeting agendas, minutes, and follow-up reports to ensure action items are tracked and addressed.
- Assist in the preparation of presentations and reports for executive meetings.
- Act as a liaison between executives and other staff, maintaining effective communication and ensuring alignment on priorities.
- Handle sensitive information with discretion and maintain confidentiality.
- Manage special projects and initiatives as assigned, ensuring timely completion and tracking progress.
Requirements
- Bachelor's degree in Business Administration or a related field preferred.
- A minimum of 5 years of experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational skills and the ability to manage multiple priorities effectively.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and comfortable with learning new software.
- Ability to maintain a high level of professionalism and confidentiality.
- Strong problem-solving skills and attention to detail.
- Proactive in anticipating the needs of executives and taking initiative to support them.
