Overview:

Meet’s client, a small-sized biotechnology in the Bay Area, is seeking a highly organized and professional Executive Assistant (EA) to provide comprehensive administrative support to the C-suite. The EA will play a critical role in managing sensitive information, coordinating schedules, preparing materials for meetings, and supporting a variety of special projects.


Key Responsibilities:

  • Provide high-level administrative support to sensitive and confidential information with the utmost discretion.
  • Efficiently manage and prioritize the calendars of executive members, ensuring schedules are optimized and any conflicts are resolved proactively.
  • Organize complex domestic and international travel itineraries, handling all travel arrangements, meeting schedules, and necessary pre-travel preparations.
  • Maintain organized files, records, and databases to support the smooth operation of the executive offices. Prepare and manage reports, presentations, and other key documents.
  • Act as a liaison between senior executives, Board members, investors, and other external partners, ensuring communication is clear, timely, and professional.
  • Serve as an on-site contact for meetings and events as necessary.


Required Qualifications:

  • 10+ years of executive-level experience, with at least 5 years supporting C-level executives in a fast-paced and dynamic environment.
  • Prior experience supporting senior leadership in industries such as biotech is highly preferred.
  • Exceptional organizational and time management skills with the ability to manage competing priorities and tight deadlines.
  • Strong written and verbal communication skills, with the ability to interact effectively with executives, stakeholders, and external partners.
  • Advanced proficiency in Microsoft Office Suite, video conferencing tools, and expense reporting systems etc.
  • Travel occasionally, both domestically and internationally.


Education:

  • Bachelor's degree required.
