Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to Healthworks' executive team, the Human Resources department, and the organization as a whole. This role will be pivotal in ensuring smooth operations across various functions, including payroll administration, executive scheduling, talent acquisition, project research, reporting, and correspondence. The ideal candidate will have strong communication skills, a high level of discretion, and a keen eye for detail.

Executive Scheduling:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to Healthworks' executive team, the Human Resources department, and the organization as a whole. This role will be pivotal in ensuring smooth operations across various functions, including payroll administration, executive scheduling, talent acquisition, project research, reporting, and correspondence. The ideal candidate will have strong communication skills, a high level of discretion, and a keen eye for detail.
Essential Duties & Responsibilities:
Executive Scheduling:
- Manage the calendars of executives, coordinating meetings, appointments, and travel arrangements.
- Prioritize and schedule meetings with internal and external stakeholders.
- Assist in the preparation of meeting agendas, reports, organization of meeting notes, and follow-up on action items.
- Conduct research on industry trends, competitor analysis, staffing best practices, and other relevant topics.
- Prepare reports and presentations to support strategic decision-making.
- Assist with special projects and initiatives as directed by executives or the VP of Human Resources.
- Provide general administrative support to the executive team, including correspondence, document preparation, and filing.
- Manage office supplies and equipment to maintain an efficient work environment.
- Serve as a liaison between executives, other departments, and external partners.
- Assist in the preparation and processing of payroll in partnership with the Director of Human Resources.
- Maintain accurate payroll records and ensure compliance with relevant regulations.
- Assist the finance department with payroll-related projects as needed.
- Conduct initial screenings of resumes and applications to identify qualified candidates.
- Collaborate with the talent acquisition team on data entry, candidate communication, and reporting.
- Support research for new market opportunities in talent acquisition.
- Perform additional duties as assigned to support team objectives and organizational goals.
- Occasional travel to company events may be required.
- Bachelor’s degree in Business Administration, Human Resources, or a related field preferred. Relevant experience as an Executive Assistant or in an administrative role is also acceptable, especially in the healthcare or staffing industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with payroll systems and basic HR practices.
- Excellent organizational, communication, and interpersonal skills.
- Ability to handle confidential information with discretion and integrity.
- Strong attention to detail with the ability to prioritize tasks effectively.
- Ability to work independently and collaboratively in a fast-paced, dynamic environment.
