Executive Support for the CEO:
- Act as the primary liaison between the CEO and internal teams, fostering credibility, trust, and collaboration with executive and senior staff.
- Communicate directly and on behalf of the CEO with external stakeholders, including business and organizational contacts.
- Manage the CEO's complex calendar, ensuring efficient scheduling and timely communication of priorities, meeting preparations, and decision-making processes.
- Handle incoming communications and meeting requests by responding independently when appropriate or delegating to relevant staff members.
- Arrange and coordinate corporate travel plans for the CEO and process related expense reports.
- Prioritize and manage correspondence, drafting responses and directing matters to appropriate staff members as needed.
- Organize and oversee logistics for leadership meetings and functions involving the CEO, either directly or through collaboration with designated departments.
- Perform additional duties as assigned.
Support for Board and Advisory Committees:
- Provide administrative support for board and advisory committee members, including scheduling and expense processing.
- Coordinate logistics for meetings, including committee sessions, conference calls, and other board-related events.
- Manage onboarding and offboarding procedures for board and advisory members.
- Process reimbursements and compensation requests for board and advisory members.
- Oversee the intake and distribution of meeting content and manage approvals for events involving advisory members.
- Perform additional duties as assigned.
General Administrative Support:
- Prepare meeting minutes, notes, and action items.
- Conduct research and oversee special projects.
- Handle general administrative tasks, such as photocopying, scanning, emailing, and mailing.
- Run errands and provide out-of-office support as needed.
- Cover for other administrative staff during absences.
- Serve as the subject matter expert for administrative processes within the executive team.
- Perform additional duties as assigned.
