Position Summary
The Executive Assistant will provide high-level administrative support to the Chief People Officer, Chief Financial Officer, and Chief Compliance Officer & General Counsel. The Executive Assistant will provide high-level administrative support to the Chief People Officer, Chief Financial Officer, and Chief Compliance Officer & General Counsel. This role involves managing diverse tasks, acting as a key liaison, and enhancing team efficiency by anticipating needs and delivering exceptional organizational and communication support.
Essential Duties & Responsibilities
Calendar Management:
- Coordinate and manage complex schedules, ensuring efficient time allocation and handling scheduling conflicts.
- Organize meetings, including preparing agendas, logistics, and follow-up actions.
Communication:
- Act as the primary liaison between the executives and internal/external stakeholders.
- Draft, proofread, and manage correspondence, presentations, and reports.
Administrative Support:
- Handle travel arrangements, including itineraries, accommodations, and expense reports.
- Maintain records and manage confidential documents with discretion.
- Assist in preparation for Board and executive meetings, including compiling and distributing materials.
Project Coordination:
- Support cross-functional initiatives led by the CPO, CFO, and CCO/GC.
- Track project deadlines, deliverables, and milestones.
Office and Team Collaboration:
- Partner with other assistants and team members to ensure seamless support across departments.
- Assist in organizing team events, offsite meetings, and company initiatives.
Skills & Abilities
Essential Duty Definition:
- Strong proficiency in Microsoft Office Suite and familiarity with collaboration tools like Zoom, Slack, or SharePoint.
- Exceptional organizational, problem-solving, and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with professionalism and confidentiality.
- Experience in HR, finance, or legal environments is a plus.
- Strong attention to detail and the ability to anticipate executive needs.
- Proven ability to adapt to a fast-paced, dynamic environment.
Position Expertise/Qualifications
- Bachelor's degree or equivalent experience preferred.
- 5+ years of experience as an Executive Assistant, preferably supporting multiple executives.
