We are seeking a highly organized and detail-oriented Accounting Specialist to join our team. The ideal candidate will oversee daily, weekly, and monthly accounting tasks, ensuring financial accuracy and supporting various departments within the organization. This role involves managing accounts receivable, accounts payable, collections, reconciliations, and providing cross-functional support, including human resources and customer service.
Accounts Payable:
Process vendor invoices in a timely manner.
Reconcile discrepancies between purchase orders and invoices.
Ensure proper approvals are obtained for payments.
Prepare and execute check runs or electronic payments.
Accounts Receivable:
Generate customer invoices and statements.
Follow up on overdue accounts to ensure timely collection.
Post customer payments and reconcile accounts.
Process credit card and ACH payments.
General Ledger Maintenance:
Prepare journal entries and maintain supporting documentation.
Assist in month-end and year-end closing activities.
Reconcile bank accounts and other general ledger accounts.
Ensure all transactions are recorded accurately and in compliance with accounting standards.
Financial Reporting:
Assist in preparing financial statements, including balance sheets, income statements, and cash flow statements.
Compile data for internal management reports.
Support external auditors by providing requested documentation.
Budgeting and Forecasting:
Assist in developing annual budgets and periodic forecasts.
Analyze variances between actual results and budgeted figures.
Provide input to department heads on budgetary performance.
Maintain organized digital and physical financial records.
Ensure compliance with tax regulations and assist with tax filings.
Monitor and update accounting software systems as necessary.
Develop and update standard operating procedures for accounting tasks.
Coordinate with vendors, customers, and internal teams to resolve billing or payment issues.
Support cross-departmental projects by providing financial insights.
Respond to inquiries from management regarding financial results or account discrepancies.
RequirementsWhat You Bring
Skills and Qualifications
Strong understanding of accounting principles and regulations.
Proficiency in accounting software (e.g., QuickBooks, Sage, or similar platforms).
Excellent organizational and time-management skills.
Attention to detail and accuracy.
Effective communication and problem-solving skills.
Advanced knowledge of Microsoft Excel and other MS Office tools.
Bachelor's degree in Accounting, Finance, or related field.
3+ years of experience in accounting or bookkeeping.
Familiarity with payroll processing is a plus.
Experience with a wide range of accounting systems and/or skills in construction is advantageous.
