Job Description:
We are seeking a highly organized and proactive Front Office Assistant to join our dynamic team. This role is pivotal in ensuring the smooth operation of our front office, where first impressions are crucial. As the first point of contact for our clients and visitors, the Front Office Assistant will be responsible for creating a welcoming environment that reflects our company's professionalism and commitment to excellence.
Key Responsibilities
- Greet and assist visitors and clients upon arrival, ensuring a positive first impression.
- Manage incoming phone calls, directing them to the appropriate personnel or taking messages as needed.
- Handle incoming and outgoing mail and packages, ensuring timely distribution and processing.
- Maintain an organized and welcoming front office space, including managing the reception area and meeting rooms.
- Schedule and coordinate appointments and meetings, ensuring efficient use of time and resources.
- Assist with administrative tasks such as filing, data entry, and document preparation as necessary.
- Support team members with various projects and tasks to ensure smooth office operations.
Skills, Knowledge and Expertise
- High school diploma or equivalent; additional certification in office management or related field is a plus.
- Proven experience as a front office assistant, receptionist, or in a similar administrative role.
- Excellent communication and interpersonal skills, with a strong customer service orientation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment management.
- Strong organizational skills and the ability to prioritize tasks in a fast-paced environment.
- Attention to detail and problem-solving skills, particularly in handling client inquiries.
- Ability to work independently and as part of a team, demonstrating a proactive approach to tasks.
