Executive Administrative Assistant


GENERAL DESCRIPTION

The Executive Administrative Assistant provides high-level administrative support and represents the Lead Pastors and Board of Servant Leaders (BOSL) in various aspects of church, local, national and global ministry through excellence in communication (both verbal and written), administration and professionalism.


PRIMARY RESPONSIBILITIES

  • Assistant to Lead Pastors and BoSL: Coordinate Calendar, Message Research for Lead Pastor, Correspondence (Email, Phone Calls, Requests, etc.), Meeting/Event Coordination & Setup, Occasional errands, Expense Reports, Provide Communication on Pastors behalf with: Church staff, BoSL, and other organizations as requested; Coordinate travel plans and assist with various projects.
  • Attend meetings with Lead Pastors to keep records, coordinate follow-up assignments and communications.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives and Board of Servant Leaders.
  • Review emails and other correspondence to Lead Pastors to determine their significance and plan their distribution.
  • Perform general office duties on behalf of the Lead Pastors, such as ordering supplies, maintaining the church record management database systems, and assisting with their expense and credit card reports
  • Make travel arrangements for leaders Lead Pastors and guest speakers.
  • Prepare meeting agendas and make meeting arrangements, such as coordinating catering for luncheons for leadership team, board, and other meetings.
  • Provide assistance to Lead Teaching Pastors Bible Study on Tuesday evenings
  • Be available for possible evening and weekend responsibilities


REQUIREMENTS

  • Member or regular attendee of Mission Community Church.
  • Experienced in professional administration and/or executive assistance. Ability to manage executive level relationships with a high level of integrity and confidentiality; initiate necessary communication when needed; adapt to change and manage multiple projects with shift priorities.
  • Excellent communication skills (verbal and written), able to effectively communicate in person or over the phone.
  • Proficient Computer/Technical Skills: Experience in Microsoft Office Professional, dual platforms of PC and Mac, web browsing, mass email with attachments, texting and web-based calendar management.
  • Ability to make decisions without supervision

Work Schedule and Reporting Structure:

  • Reports to the Lead Pastors
  • Part-Time Position (approximately 20-24 hours weekly)
  • Primarily Monday-Thursday with evening responsibility on Tuesday nights and possible weekend responsibilities, as needed
  • May be scheduled occasionally to work outside normal schedule to work all staff church events and other events, as needed
