Executive Assistant
Public Alliance – Colorado

About Us:
Public Alliance, a division of The Management Trust, delivers management services to over 50 of Colorado's Special Districts, including metropolitan and water districts. Our team partners with Boards of Directors to ensure excellent service and operational efficiency. As we continue to grow, we’re seeking a skilled and organized Executive Assistant to support our District Managers and contribute to the success of our operations.

Role Overview:
The Executive Assistant plays a key role in supporting District Managers and ensuring smooth administrative operations. This position involves direct interaction with clients and residents, handling administrative tasks, and providing organizational support to our District Manager team.

We’re looking for a professional who is adaptable, detail-oriented, and dedicated to delivering high-quality results. This is an in-person role, Monday through Friday, 8:30 AM to 5:00 PM, based at our office near Hampden and Tamarac in southeast Denver (7555 E Hampden Ave).

Key Responsibilities:

  • Provide administrative support to District Managers, including drafting correspondence, preparing reports, and reviewing documents.
  • Coordinate and organize materials for meetings, reports, and presentations.
  • Maintain office organization, including supplies, inventory, and appointments.
  • Schedule and manage meetings using Outlook and web conferencing tools like Zoom and Teams.
  • Ensure accuracy and professionalism in all written communication, including proofreading and document redlining.
  • Adapt to shifting priorities and deadlines in a fast-paced environment.
  • Assist with answering and directing calls and web inquiries.
  • Occasionally, this role may require evening or weekend hours to assist with a district meeting or community event.

What You Bring to the Table:

  • Bachelor’s degree or equivalent experience preferred.
  • Experience in Special District Management is a plus, but we’re open to training the right candidate.
  • Strong customer service skills with prior experience in administrative roles.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
  • Expert-level Outlook Calendar management to ensure seamless scheduling.
  • Familiarity with office equipment, including printers, scanners, and multi-line phone systems.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Impeccable spelling, grammar, and written communication; a writing sample is encouraged.

Salary and Hours:

  • Salary Range: $24.00 to $26.00 per hour based on experience.
  • Work Hours: 8:30 AM to 5:00 PM, in-office Monday through Friday.
