Position Overview
The Administrative Assistant supports the manufacturing department by providing administrative assistance to the General Manager. This position organizes, communicates and coordinates tasks to ensure the smooth operation of manufacturing activities. The Administrative Assistant has documentation and record keeping responsibilities, works as a liaison between the General Manager and internal stakeholders and plays a vital role in supporting the General Manager which contributes to the overall efficiency of the manufacturing department.
Duties and Responsibilities
- Schedule appointments and maintain calendar for the General Manager
- Prepare meeting agendas and create presentations for the General Manager
- Draft and proofread emails, reports, and other written communications on behalf of the General Manager
- Perform data entry and analysis of the manufacturing processes and performance metrics
- Prepare and update production spreadsheets, charts, and reports
- Prepare presentations and distribute reports and other documentation
- Maintain organized and up-to-date records, files, and manufacturing related documents
- Serve as a liaison between the General Manager and internal stakeholders
- Take meeting minutes, note next steps and follow up on action items

- Proficient with Microsoft Office software: Excel, Word, Outlook
- Discretion and confidentiality are essential
This position will also have Receptionist responsibilities at the front desk. This includes:
- Answer incoming telephone calls on a multi-line phone system, determines purpose of the call and forwards call to appropriate personnel or department. Take and deliver messages when necessary.
This position performs front desk duties such as greeting and welcoming customers, clients and applicants.
- Will have some minor Human Resource responsibilities, as needed.
- Answer non-routine correspondence
- Communicate via email, prepare reports and work schedules
- Plan, prioritize and monitor Receptionist activities
Excellent attendance is essential.
Dress code is business appropriate as the individual will interact with customers, board members and the general public.
