Job Description
Lakeshore Talent is seeking a highly organized, proactive, and professional Executive Assistant to support the executive leadership team at a reputable hospital in downtown Chicago, IL. This role requires exceptional multitasking abilities, attention to detail, and the ability to maintain confidentiality in a fast-paced healthcare environment. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders, ensuring seamless communication and coordination.
Location: Onsite, downtown Chicago
Pay: $28-30/hr, depending on experience
Contract Length: 18 weeks, with potential for extension or hire

Key Responsibilities:
- Administrative Support: Manage executive calendars, schedule appointments, coordinate meetings, and handle correspondence (emails, phone calls, and mail).
- Meeting Management: Prepare agendas, take accurate meeting minutes, and ensure timely follow-up on action items.
- Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and transportation, ensuring adherence to the hospital’s policies.
- Document Management: Draft, edit, and distribute professional correspondence, reports, and presentations as needed.
- Confidentiality: Handle sensitive information with discretion and professionalism, adhering to hospital privacy policies (e.g., HIPAA compliance).
- Event Planning: Organize on-site and off-site events, including board meetings, retreats, and special projects.
- Stakeholder Engagement: Act as a liaison between executives, hospital staff, board members, and external partners.
- Problem-Solving: Anticipate the needs of the executives and resolve issues independently to ensure operational efficiency.
- Administrative Processes: Monitor and manage budgets, process expense reports, and order supplies.

Qualifications:
- Education: Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred.
- Experience: 5+ years of experience as an Executive Assistant, preferably in a healthcare or hospital setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management tools and healthcare software is a plus.
