Interdisciplinary at its core, the center develops and leads workshops, research, an annual conference, and other projects and programs for students, faculty, and industry partners. The center collaborates with university faculty to accelerate advances in fintech in the areas of research, commercialization, applied learning, and the incubation of new ideas and businesses. The Stena Center is looking for an Executive Assistant to be a supportive force who empowers our center’s leadership team. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to executives. Candidates should be flexible, yet consistent. Duties will include (but are not limited to) supporting the Executive Director primarily and providing additional support to executive/management team members, as directed, to ensure the center’s goals and objectives are accomplished and that operations run efficiently. Responsibilities Manage the Executive Director’s calendar, including making appointments and prioritizing the most sensitive matters Organize meetings, including scheduling, sending reminders, and organizing catering when necessary Gather documents to prepare for meetings, maintain meeting agendas, and take meeting minutes Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Executive Director’s behalf Manage travel logistics and activities, including accommodations and transportation Maintain comprehensive and accurate records Order and manage office supplies Perform minor accounting duties Maintain professionalism and strict confidentiality Assist with the execution of events like the Stena Center’s annual Fintech Xchange event Additional tasks as assigned by Executive Director Minimum Qualifications Bachelor’s degree in Business or a related field, or equivalency required (one year of education can be substituted for two years of related work experience). Two years office management and supervisory experience. Demonstrated knowledge of finance and budgeting and public relations skills. Demonstrated human relations and effective communication skills are also required.
