Job Summary: We are seeking a highly organized and motivated Event Assistant to join our team. This role will support the planning and execution of events, providing logistical and administrative assistance to ensure events run smoothly from start to finish. The ideal candidate will have excellent communication skills, attention to detail, and a passion for event coordination.
Key Responsibilities: Assist in the planning and preparation of events, including conferences, corporate meetings, weddings, trade shows, or community gatherings. Help with venue selection, booking vendors, and coordinating logistics for event space setup and teardown. Communicate with event attendees, vendors, and staff to ensure all arrangements are in place and timelines are adhered to. Coordinate transportation, accommodations, and other event-related services for guests and attendees. Manage registration, check-in, and provide on-site assistance during events. Set up and maintain event materials, signage, and equipment as required. Assist with the creation of event materials, including programs, invitations, and schedules. Ensure compliance with event budgets and track expenses. Troubleshoot and resolve any issues or last-minute changes during the event. Conduct post-event evaluations and assist in gathering feedback for future improvements. Perform administrative tasks such as filing, data entry, and preparing reports. Qualifications:
High school diploma or equivalent required; college degree in event planning, hospitality, marketing, or a related field preferred. Strong organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment. Excellent communication and interpersonal skills, both written and verbal. Ability to work collaboratively with a diverse team and handle sensitive client information. Basic knowledge of event management software and tools (e.g., Eventbrite, Asana, or similar) is a plus. Flexibility to work evenings, weekends, and holidays as required by the event schedule.
