The Grants Administration Manager, on behalf of our client,will oversee the full grant lifecycle, ensuring compliance with funding guidelines, financial reporting accuracy, and alignment with organizational goals. This position plays a critical role in managing grant proposals, budgets, and reporting requirements, contributing to the overall success and sustainability of the organization.
Key Responsibilities:
Grants Management:
- Oversee the entire grant lifecycle, from proposal development to post-award monitoring.
- Review and assess grant applications for completeness and compliance with funding guidelines.
- Maintain detailed records of grant submissions, awards, and reporting requirements.
- Monitor time charged to grants, ensuring records are up to date.
- Track external expenses related to grant projects.
- Participate in the selection and implementation of time-keeping software and grant-related systems.
- Maintain all grant management and time-keeping systems.
- Ensure adherence to federal, state, and organizational regulations for grant funding.
- Provide regular reports on grant project progress.
- Prepare and submit accurate financial and programmatic reports to funding agencies.
- Monitor compliance with grant terms, including budget management.
- Perform reconciliations and calculations, such as billing rates, time worked, and expenses.
- Prepare grant invoices and track reimbursements, receipts, and billings.
- Update and monitor rate calculations, including NICRA, direct labor, and fringe benefit rates.
- Collect and maintain all grant-related receipts, invoices, and supporting documentation.
- Coordinate annual Federal Grant audits.
- Collaborate with program managers and project directors to develop grant proposals.
- Provide training and guidance to staff on grant application processes and requirements.
- Serve as a liaison between the organization and funding agencies.
- Assist in preparing grant budgets and financial plans.
- Track and ensure expenditures align with grant agreements and organizational policies.
- Conduct regular financial reviews and audits of grant-funded projects.
- Identify potential funding opportunities and trends in grant funding.
- Conduct research to inform grant proposals and program development.
- Maintain a comprehensive database of grants and funding sources.
- Develop and maintain templates for grant proposals, reports, and documentation.
- Communicate grant opportunities, timelines, and requirements to stakeholders.
Education:
- Bachelor's degree in Business Administration, Public Administration, or a related field.
- Equivalent combination of education, training, and experience may be considered.
- 5-7 years of progressive relevant experience.
- Experience managing grant programs and understanding the cyclical nature of the grants process.
- Strong project management skills with the ability to maintain and create processes.
- Excellent organizational, analytical, and problem-solving skills.
- Proficiency in financial management, budgeting, and grant compliance.
- Proficiency with grant management software and tools.
- Strong written and verbal communication skills.
- Ability to prioritize, organize, and problem-solve in a fast-paced environment.
- Strong understanding of grant regulations, compliance requirements, and reporting processes.
- Detail-oriented with a focus on accuracy and compliance.
- Ability to work independently and collaboratively in a team environment.
