We are offering a contract for a permanent position as an Executive Assistant in Missouri City, Texas. The role primarily involves managing schedules, organizing briefings, and facilitating communication among various city offices. As an Executive Assistant, you will also be tasked with responding to citizen concerns, coordinating online updates, and maintaining budget documentation.
Responsibilities:
• Managing and reviewing City Manager and Assistant City Manager Briefings
• Tracking communication plans and preparing status reports
• Ensuring all work schedules and deadlines are met
• Facilitating communication between the Assistant City Manager’s office, City Manager, Mayor, City Council, and staff
• Responding to citizen concerns and requests promptly, and preparing written correspondence
• Coordinating updates for the Internet and Intranet
• Compiling and producing weekly updates from reporting departments for the executive team member
• Assisting in coordinating budget preparation and maintaining annual budget documentation
• Preparing purchase orders and monitoring budget spending
• Providing back-up phone support and answering phones
• Maintaining a record of departmental policies and procedures
• Coordinating special projects as needed
• Managing calendar and scheduling meetings for the Leadership Team
• Running errands for City Manager• Proven experience in Calendar Management, with the ability to schedule and prioritize appointments effectively.
• Proficiency in Email Correspondence, ensuring timely and detail oriented communication with internal and external stakeholders.
• Demonstrated experience in handling Purchase Orders, including the ability to track, manage, and report on order status.
• Experience in organizing and coordinating Travel Arrangements, including flight bookings, hotel reservations, and itinerary planning.
• Solid understanding of Annual Budget preparation and management, with the ability to track expenditures and ensure alignment with budgetary guidelines.
