Job Summary

The Secretary provides comprehensive administrative and clerical support to ensure efficient operations within the office. This role involves managing schedules, coordinating meetings, preparing documents, and handling correspondence, while maintaining a high level of confidentiality and professionalism.


Key Responsibilities
  1. Administrative Support

    • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
    • Prepare, edit, and distribute correspondence, reports, and presentations.
    • Organize and maintain office filing systems and databases.
  2. Communication

    • Handle incoming calls, emails, and correspondence, responding or directing as appropriate.
    • Serve as the first point of contact for visitors and staff inquiries.
    • Relay messages accurately and promptly.
  3. Meeting Coordination

    • Schedule, organize, and coordinate meetings, including preparing agendas and taking minutes.
    • Ensure proper setup of meeting spaces and technical equipment.
  4. Office Management

    • Monitor and order office supplies as needed.
    • Maintain an organized workspace and ensure office policies are followed.
    • Liaise with vendors, service providers, and building management as necessary.
  5. Other Duties

    • Support special projects and initiatives as assigned.
    • Assist with event planning and execution.
    • Perform other related tasks to ensure the office runs smoothly.

Qualifications
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Proficiency in multitasking and prioritizing work in a fast-paced environment.
