Role Overview

We are seeking a highly skilled Executive Assistant with proven experience in high-growth, entrepreneurial environments, preferably supporting a founder or C-level executive in a dynamic startup or creative agency. In this role, you will be the operational backbone of the CEO’s office, ensuring seamless execution of priorities, exceptional communication, and strong organizational systems. The salary band for this role starts at $90,000 annually.

Key ResponsibilitiesExecutive Support
  • Manage the CEO’s complex calendar with precision, prioritizing high-impact tasks and meetings.

  • Ensure the CEO is prepared for meetings with comprehensive briefing documents and materials.

  • Serve as the CEO’s trusted liaison with internal leadership, external stakeholders, and clients.

  • Draft, edit, and manage high-level correspondence with professionalism and clarity.

  • Anticipate and address the CEO’s needs proactively, ensuring efficiency and focus.

Project & Task Management
  • Lead and track progress on cross-functional projects, ensuring accountability and timely delivery.

  • Collaborate with senior leadership to align on organizational goals and initiatives.

  • Develop and maintain organizational frameworks that enhance team productivity and workflow.

Administrative Leadership
  • Prepare polished presentations, reports, and documents for internal and external use.

  • Oversee travel logistics, including itineraries, accommodations, and expense tracking.

  • Implement systems and processes to streamline administrative operations.


Essential Qualifications

Candidates must meet the following criteria to be considered:

  1. Experience:

    • 8+ years of experience providing executive-level support to C-suite leaders in entrepreneurial or high-growth settings.

    • Proven ability to manage complex schedules, competing priorities, and high-pressure environments.

  2. Communication:

    • Exceptional written communication skills, with demonstrated ability to draft and edit professional correspondence.

    • Writing samples are required as part of the application process.

  3. Technology Proficiency:

    • Expert-level proficiency in Google Calendar and intermediate proficiency in Google Docs, Slides, and Sheets.

    • Proficiency in Slack and Zoom.

  4. Organizational Skills:

    • Demonstrated ability to develop and maintain organizational systems and frameworks.

    • Proven track record of supporting executive leadership teams and managing cross-departmental coordination.

  5. Attributes:

    • High level of discretion and integrity in handling sensitive information.

    • Strong problem-solving skills and a proactive approach to challenges.


Preferred Qualifications (Not Required)
  • Experience using Sunsama or similar task management tools.

  • Familiarity with RecruiterFlow, PipeDrive, or other CMS platforms.
