Role Description
Seeking an experienced Event Coordinator/Chapter Administrator to manage day-to-day operations for a Dallas/N. Texas based client. The role involves day-to-day tasks such as event planning, communication with stakeholders, providing exceptional customer service, managing events, and engaging in sales activities. This contract position requires both remote work and regular on-site presence for events in the N. Texas area.
Qualifications
2+ years experience in event planning and/or non-profit association management
Strong Administrative skills (takes pride in the tasks)
Excellent Communication and Customer Service abilities
Highly organized and detail-oriented
Knowledge of the events industry trends and best practices
Experience with Chapter Administration is a plus
Strong proficiency in QuickBooks, Microsoft Office Suite, Google Workspace, Social media platforms
Ability to work independently and manage multiple priorities
Must have reliable transportation for event attendance
Based in the North Texas region
Key Responsibilities
Administrative Management
Maintain client operations, including managing communications, records, and documentation
Respond to inquiries via email, phone, and voicemail within 24 hours
Maintain master calendar of chapter events
Manage vendor relationships and contracts
Financial Administration
Process invoices, payments, and financial transactions
Maintain QuickBooks records and prepare monthly financial reports
Assist with budget preparation and monitoring
Coordinate with bookkeeper and accountant for financial reporting and tax filings
Event Management
Provide on-site management for all client networking events, including:
Registration desk staffing
Name badge preparation and distribution
Venue coordination
Audio/visual setup oversight
Vendor management
Handle event promotion, registration, and attendee communications
Communications and Website
Coordinate social media presence across platforms (LinkedIn, Instagram, TikTok)
Create and distribute event promotional materials and newsletters
Member and Sponsor Relations
Maintain sponsor database and ensure benefit delivery
Assist with annual membership surveys and sponsor campaigns
Time Commitment and Location
Average 30-40 hours per week, varying with event schedule
Remote work with required on-site presence for Monthly Board meetings, all chapter events and programs
Contract Terms
Independent contractor position (at-will engagement)
Either party may terminate the engagement at any time
Contractor responsible for own taxes, insurance, and business expenses
No benefits provided
Work schedule and priorities to be coordinated with Chapter leadership
