HR Service Center Specialist (US - Remote)

Position Summary: The position of HR Service Center Specialist will be responsible for supporting our Human Resources related processes, programs, and projects.
Essential Job Duties:
- Process employee status changes (hires, transfers, terminations) and distribute documentation. Coordinate with HR teams to update databases. Enter and audit information in HRIS. Input sign-on bonuses for payroll after HRBP approval. Track HRIS changes in the payroll tracker for audits.
- Handle communication and coordination of the offboarding process. Maintain the offboarding dashboard, distribute termination paperwork and agreements, and notify payroll of terminations. Manage initial new hire pre-boarding activities, including I-9s. Create employee files, ensure offer letters are signed, and file background checks.
- Responsible for ordering gifts for employees and retirees (e.g., baby gifts, donations, flowers).
- Create and maintain all employee personnel electronic files including status changes, benefits, and termination files.
- Respond to employee data inquiries; run reports in HRIS as requested and validate results to ensure accuracy of data.
- Manage vendor relationships for the Sikich Showroom and coordinate special orders. Order monthly gifts for new hires, 1-year and 5-year anniversaries, and acquisition gifts as needed.
- Update forms, policies, and processes documentation, as needed.
- Respond to employment verification requests and unemployment claims.
- Manage the HR email inbox, respond to employee inquiries and requests, and escalate complex cases to the appropriate HR Business Partner as needed.
- Address Service Desk tickets to ensure timely resolution of any issues or questions submitted by employees.
- Assist with computer loans and educational assistance by completing and submitting paperwork. Track information and notify employees of approvals or denials.
- Administer CPA and other certification bonuses and reimbursement benefits, ensuring all required information is provided before approval.
- Create job titles in HRIS, as needed. Maintain and create standard operating procedures, as needed with the HR Operations team.
- Create weekly Buddy emails for awareness of starting new hires.
- Create and deliver subcontractor agreements and initiate onboarding with finance and IT. Maintain the company intranet (SikichConnect) for Comings and Goings, New Hires, and Anniversaries.
- Actively participate in cross-functional teams or projects that involve multiple HR functions.
- Analyze HR data to identify trends, patterns, and areas for improvement and generate reports for HR leadership to assist in decision making.
- Stay current with HR laws and regulations to ensure all processes and documentation comply and conduct periodic audits to ensure HR Operations practices align with legal requirements.
- Assist with developing/conducting training sessions regarding HR processes and systems, as needed.
Knowledge, Skills, and Abilities:
- Bachelor's degree in business, Human Resources, Organizational Development, or related field is preferred.
- Minimum of three (3) plus years of relevant experience, and prior experience in Human Resources role preferred.
- Experience with HRIS strongly desired; large-scale ERP solutions such as Oracle or Workday is preferred.
- Excellent oral and written communication skills; competent with grammar, spelling, and punctuation.
- High degree of professionalism and ability to maintain confidential information.
- Strong analytical and problem-solving abilities.
- Excellent interpersonal and organizational competencies.
- Ability to effectively prioritize and complete tasks in a fast-paced, high volume work environment, while meeting deadlines.
- Advanced knowledge of Microsoft Office Suite is required; must have demonstrated working knowledge of reporting using Excel.
- Must be comfortable with virtual platforms, including Microsoft Teams, for collaborating with colleagues and team members.
- May require travel in support of team gatherings or work-related activities.
