Administrative & Personal Assistant opportunity to Design-Build Construction Company Owner with multiple Rental Properties


Searching for an individual to support both personal and professional needs as a construction company administrator, rental property manager, and personal assistant.

  • Ideal candidate is someone familiar with or interested in learning about real estate and/or home building.
  • Looking for someone who is multifaceted that isn’t afraid to roll up sleeves when needed; punctual, efficient, and able to multitask and switch gears easily.
  • Candidate is local to the South Bay or in close proximity as all tasks are in the area and sometimes last minute.
  • Schedule: Monday through Friday 8:30-4:30 with occasional afterhours and weekend responsibilities (tenant emergencies, rental showings). Some remote possibilities after training/trial period.

Property Management Responsibilities: 40% of workload

Property Management License not required; Owner has 3 rental properties in Redondo Beach, which include 13 units total.

  • Will serve as a main point of contact for all tenants, coordinate maintenance, property showings, and new leases.
  • Includes expense tracking with Google Sheets & QuickBooks, tenant file organization, scheduling with maintenance contractors, advertising & showing properties for rent, general tenant correspondence & building management.
  • Individual should be prepared to handle afterhours emergencies with tenants.
  • Accounting & Data entry.

Construction Company Administrator Responsibilities: 50% of workload

Company performs residential remodels and home building in the South Bay.

  • Candidate will assist in client and subcontractor correspondence by sending emails and making phone calls.
  • Maintain organization for client project files in Google Drive by creating finish schedules and compiling spec sheets.
  • Manage project accounting, create and send invoices, and track project expenses.
  • Source and order materials for projects.
  • Track hours and receipts for inhouse laborers.
  • Accounting & data entry.

Personal Assistant Responsibilities: 10% of workload

Candidate will be expected to work out of home-office (partial remote option after trial period).

  • Expected to assist with personal tasks including, but not limited to; grocery shopping, running errands, placing online orders, coordinating with housekeepers and gardeners, and picking up mail.
  • Candidate should also be comfortable with large dogs and cats.
  • Potential afterhours work (checking on pets if Owner is out of town).

Skills, Experience, and Abilities:

  • Proficient in Google Sheets and QuickBooks Online is essential.
  • Organizational skills are required daily in Google Drive and in physical office space.
  • Must have own car; job requires daily driving with occasional long distance.
  • Professional skills; will regularly need to meet with clients and contractors in person.
  • Formal writing skills with the ability to draft professional correspondence and technical documents.
  • Confidentiality and discretion for handling sensitive business and personal information.
  • Comfortable with Apple Software/Macbook.
  • Ability to work with various design software (Adobe, AutoCAD, Canva) and creativity is a major plus.
  • Attention to detail.

A Plus: Architectural plan reading, drafting, design, AutoCAD.
