Position Description

:

The Grants and Contracts Administrator manages the post-award cycle of grants, including compliance, database management, assist in management of finances, tracking progress reporting on outcomes to maintain funding and relationships. The Grants and Contracts Administrator supervises staff who work closely with programs and administrative staff to create accurate metrics and compliance with grant requirements.

Key Responsibilities:

Grant Administration:

Ensure grant implementation and related program management aligns with the stated grant objectives and requirements.

Maintain accurate records of all grant-related activities, including financial transactions, progress reports, and compliance documentation.

Track grant budgets, monitor expenditures, and assists in reconciliation of financial reports to ensure compliance with grant terms.

Assists in preparation and submission of periodic reports to the grantor, documenting progress, outcomes, and any challenges encountered.

Responsible for conducting grant kick-off /overview at start of new contract and renewal with relevant staff.

Compliance and Monitoring:

Stay informed about grant requirements and ensure compliance with all applicable regulations and guidelines.

Monitor project progress against milestones and deliverables, identifying potential issues and implementing corrective actions.

Collaborate with other departments and stakeholders to ensure smooth grant implementation and compliance.

Prepare for and participate in grant monitoring sessions and audits, providing necessary documentation and information.

Relationship Management:

Maintain regular communication with grantors, providing updates on project progress and addressing any questions or concerns.

Build and maintain strong relationships with grantors, fostering trust and ensuring future funding opportunities.

Advocate for the organization's mission and programs to potential and existing grantors.

Data Management and Reporting:

Supervises reporting and database staff, promotes team growth, and coordinates with Accounting, HR, Program Directors, and other stakeholders in the grants process to enhance communication and clarity.

Collect, analyze, and report on grant-related data to demonstrate the impact of the project and inform future grant proposals.

Maintain accurate and up-to-date records of grant-related information in a database or other management system.

Develop and implement data collection and reporting processes that are efficient and effective.

Skills and Qualifications:

Strong organizational, communications, writing, time management and analytical skills

Proficiency in financial management and budgeting ;

ability to analyze and interpret financial reports, such as General Ledgers and Payroll Distributions

Experience working with complex budgets and budget narratives

Knowledge of non-profit grant management principles and best practices

Experience with grant reporting and compliance requirements

Ability to work independently and as part of a team

Strong attention to detail and accuracy

Proficiency in relevant software and systems (e.g., grant management software, accounting software)

Minimum Requirements

Bachelor's Degree, or comparable work experience, in the Grants Administration or Contracts Management field

Minimum of three years' experience collecting and managing non-profit and grant program data and creating reports

Preferred Requirements

Thorough knowledge of government and philanthropic grants administration

Ability to evaluate financial data for reasonableness and conformity to contract requirements

Experience supervising personnel

Expertise in program measurement and evaluation methods

Experience with data visualization and report template design

Working Conditions

General office environment. Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.

Physical Requirements

Requires sitting or standing at a desk for long periods of time indoors. Eye and hand coordination for viewing of monitor screen and multiple reports along with high volume of keyboard use. Driving to properties to meet with program staff and residents, as well as audits and attending training seminars.

Compensation:

Starting at $ 72,000/annual
