REPORTS TO:

The City Clerk in accordance with the principles, practices, and procedures of directing the workflow of an office. Work is performed under the Director's or designee's supervision and is evaluated by reports, observation, and results obtained.

Under general supervision, performs a variety of technical, clerical and administrative duties in the Office of the City Clerk. Work involves serving as administrative support to City boards and assisting the City Clerk. Employee is responsible for taking minutes at meetings, assisting with budget preparation for the department, maintaining files, answering correspondence, and assisting the public. Employee is also responsible for assisting with office volunteers and interns. Position reports to the City Clerk and requires considerable tact and courtesy with work involving frequent contact with City Officials and the general public. Ideal candidate will aspire to acquire City Clerk Certification after attainment of required experience. Essential Job Functions

Answers telephone; responds to or refers requests for information; greets and directs the public; types memoranda, reports, and other departmental documents. Carries out the duties and responsibilities of City Clerk in their absence. Maintains an appointment calendar as requested and makes appointments as directed. Assists City Clerk in preparing for Council meetings, City board meetings, and other meetings hosted by City Clerk, including notifying attendees of meeting times and places, assisting with the preparation of meeting packets, scheduling meeting facilities, setting up meeting rooms, etc.; attends meetings and takes minutes; proofreads minutes, transcribes, and distributes to meeting attendees, as requested and necessary. Maintains and processes various personnel-related materials; requisitions office supplies in accordance with budget; answers routine correspondence; assists in budget preparation; relieves supervisor of minor administrative/clerical detail as necessary. Responsible for City Clerk's travel arrangements for government functions to include registration and hotel accommodations, and travel reimbursement expenses in absence of Deputy City Clerk. Performs related duties as required. Notarizes, certifies and attests documents. Responsible for meeting preparation set-up, including the ordering, picking up and set-up of food and beverages, as required, setting up recording equipment and nameplates. Assists with passport functions as required. Plans and executes civic education and engagement projects on behalf of the Office of the City Clerk. Plans and executes outreach activities and communications on behalf of the Office of the City Clerk. Coordinates and communicates with other agencies on behalf of the City Clerk. Prepares and disseminates information on City Clerk events, meetings, and boards.

Considerable knowledge of business English, spelling, and basic math; standard office practices and procedures; related office equipment operation. Proficient in computer applications, including Microsoft Office and related Office Suite products, Adobe Software, and social media applications. Knowledge of appropriate municipal codes, ordinances, and laws. Skilled in typing accurately from rough draft or plain copy. Ability to understand and carry-out complex oral and written instructions; learn departmental rules, regulations, and functions; make decisions in accordance with same; prepare routine documents; compose business letters and memoranda. Ability to communicate effectively with the public.

TRAINING, CERTIFICATION, AND EXPERIENCE

High School Diploma or GED, in addition to experience in municipal government with extensive public contact, and possess excellence word processing skills. Minimum of two (2) years experience in performing secretarial/administrative work for executive personnel or minimum of two (2) years progressively responsible administrative work. Or, and combination of training, education, and experience that provides the required knowledge, skills, and abilities. Proficient in grammar and writing skills. Must be punctual; yet flexible with full-time work hours. Must maintain a valid Florida driver's license and clear driving record. Successful completion of background check.

SPECIAL REQUIREMENTS

SKILL REQUIREMENTS:

Due to complexity of work involved, a probationary period of at least six (6) months will be required before optimum efficiency and initiative may be expected of employee. Appointment will be solely on basis of clerical and administrative abilities. Employee must develop: thorough knowledge of ordinances, policies and procedures of the City; knowledge of legal requirements, organization, function of and activities of municipal government; knowledge of and adherence to the legal requirements of public notices and the Sunshine Law; and knowledge of procedures employed in City Elections. Must be able to establish and maintain effective working relationships with City officials, employees and the general public. Must be proficient in computer applications, including Microsoft Office and related Office Suite products and Adobe software.

PHYSICAL REQUIREMENTS:

Must be able to communicate orally and in writing, possess good eyesight (with or without correction), physical mobility (with our without hearing aid), and be able to withstand the pressure of coordinating schedules, projects and people in an atmosphere of constant change. Must be physically able to operate a variety of general office machinery and equipment including computers, typewriters, copiers, printers, facsimile machines, postage meters, etc. Must be able to exert up to 15 pounds of force occasionally, and/or up to 5 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Physical demand requirements are in excess of those for Sedentary Work. Ability to sit or stand for extended periods as may be required.

WORKING CONDITIONS:

Works in office environment, but may be required to work in outdoor events and environments.

May occasionally be required to drive a city vehicle in the performance of duties.
