Position Summary:The experienced Executive Assistant is responsible for senior-level administrative duties and program support for one or more USRA Vice Presidents and their respective teams.Essential Duties/Responsibilities:Administrative duties require frequent interaction with others to exchange information by phone, in person, or via email; reception; scheduling and planning meetings and events; arranging appointments; composing correspondence and responding to inquiries; maintaining files; preparing expense reports; processing purchase requisitions and invoices; ordering supplies; making arrangements and preparing the necessary documents for domestic and international travel; and serving as back-up and providing coverage for other administrative assistants including the USRA general reception desk. Additional direct support to programs and institutes.Project support responsibilities include entering data into databases, websites, and Excel spreadsheets; auditing data; running reports; conducting internet research; analyzing data and making recommendations on findings; drafting and editing documents and presentations; preparing meeting materials and meeting minutes; organizing events; and coordinating the logistics and execution of assigned duties and activities in accordance with established policies and procedures.The position also entails planning and in-person presence for leadership and board meetings.Required Qualifications:Education:A high school diploma is required; some college is highly preferred.Experience:6+ years of relevant experience in administration or office support and services, preferably in support of Executives at a non-profit and/or government contracting organization.Experience in planning and supporting senior-level meetings is necessary.Citizenship:
Must be a U.S. CitizenKnowledge, Skills & Abilities:Excellent organizational skills with demonstrated ability to set priorities and manage, coordinate, and perform multiple, complex tasks simultaneously.Ability to complete tasks proactively, exercise sound judgment, follow instructions, and maintain a high level of professional conduct.Superior communication and interpersonal skills to interact effectively and positively with people. Must demonstrate understanding, patience, and tact.Ability to handle highly sensitive business and human resources communications, data, and other information with confidentiality and discretion.Assist with keeping the scientific publications database up to date.Excellent writing skills include catching typos and grammatical errors.Strong analytical skills to handle non-routine, moderately complex assignments.Positive communication and strong team player.Strong skills with Microsoft Teams and SharePoint.Proficiency in MS Office, including Excel, Outlook, and Word.Proficiency in navigating the internet.Interest in continued professional development to stay current on the evolving skills/knowledge required for this position.Working Conditions:This job operates in a professional office environment, and the incumbent must exhibit such in all dimensions. This role routinely uses standard office equipment, such as computers, phones, photocopiers, audiovisual equipment, etc. It is largely a sedentary position.Location:This position requires a physical presence at work at our Washington, DC, location. It is in southwest DC, not far from Capitol Hill, and one block from Federal Center SW metro.Telecommute:
This is a hybrid position; the candidate will work three (3) days in the office and on an as-needed basis.Travel:
