Role Description
The Document Controller Coordinator will be responsible for the correct and accurate storage, retrieval, and communication of all engineering, technical, and departmental records and documentation within the site registry.
Key ResponsibilitiesAssist Document Control Manager with project management software and delivery systems which may include 3rd party software applications, SharePoint, other intranet/extranet, and shared drivesUpdate procedure/specification type Word documents as requiredMaintains appropriate form templates for access from company intranet sitesMounting of artwork and other presentation materials including a variety of media including actual artwork, digital art, transparencies, photo materialsMaintain continuity of digital files to ensure naming standards, appropriate file locations, format standardizationCreate and track document passwords for IP-sensitive documentation being supplied to third-party vendorsResponsible for large format print services and digital manipulation to communicate the best solution for print materials, digital media, Mounting of artwork and other presentation materials actual artwork, digital art, photo materialsTrack document approval activities in the electronic tracking systemIssue controlled Production Documentation to Manufacturing and Laboratory Notebooks to cross-functional areasMaintains required document control records and files to ensure compliance with regulatory requirementsAssists with preparing and populating approved product registration templates as requested/directedSchedule meetings with support teams to finalize BOM and/or RFPsResponsible for the maintenance of the document control systemMaintains revision and approval status of all documentsMaintains hard copies of all approved documentationPerform additional duties as assignedPreferred Qualification / Relevant Experience
Minimum of 3 years experience in a Document Control related function is requiredFamiliarity with the Engineering Release and Change Control process is a preferredFDA and ISO experience is preferredGeneral office skills (data entry, scanning documents, filing) are essentialMust be a team player and interface well with othersApplied technical knowledge of Product Life Management and ERP/MRP systems is preferredManage the lifecycle of vendor documentation from receipt, distribution, review, and return to vendor till compilation of final documentationSoftware Requirements: EIDA, The Vault, Procore, MS SharePoint, Oracle Unifier, MS Office, SAP, Comos, CoupaOrganized and detailed oriented
