Job Description

SUMMARYThe AVP, Financial Administration is responsible for managing all aspects of the client relationship regarding the activities conducted in support of running a mutual fund for the clients of Ultimus Fund Solutions. These activities include financial, compliance, performance, and treasury reporting. Additionally, this role will contribute to the development and performance of team members, the processes used by them, and will hold them accountable for their work.KEY ACCOUNTABILITIESMUTUAL FUND REPORTINGOversees preparation of annual and semi-annual financial statements, along with various SEC reports such as N-Q, NSAR, and 24f-2 reports.Ensures completion of quarterly board and ad-hoc reports.Presents materials to mutual fund boards.Ensures accuracy of performance reporting.MUTUAL FUND ADMINISTRATIONPerforms oversight of compliance monitoring and reporting as completed by fund administration teams.Reviews and monitors budgets created for each client.Oversees billing and payment of fund expenses such as management and 12b-1 fees.Serves as an officer on a Mutual Fund Board as required.OTHER RESPONSIBILITIESParticipates in regularly scheduled valuation, compliance, and risk committee meetings.Coordinates and oversees annual audits with outside auditors, clients, and printers.Reviews monthly compliance checklist and/or supporting schedules prepared for compliance and tax team to review compliance with the 1940 Act, IRS, and prospectus rules and regulations.Performs compliance monitoring and reporting on each fund; reports findings to compliance and tax team and/or client if exceptions are found, and research exceptions following-through until resolution.PERSONNEL MANAGEMENTManages associates within department including, but not limited to, hiring, training, and developing associates, delegating work assignments, writing, and conducting performance appraisals, salary recommendations, coaching and counseling, and administering corrective actions.Conducts one-on-one and team meetings with associates on a regular basis to discuss new procedures, problems, and issues.Establishes team and individual goals for department.Fosters performance of associates and the processes used by them; holds the associates accountable for their work.WORKING RELATIONSHIPSMentors associates through instruction, coaching, providing real-time on-the-job experiences, modeling effective practices, and advising on methods used.Manages relationships with client companies ensuring timely resolution of requests and high quality of customer service.Acts as an escalation point for escalated issues and complex problems;
