SUMMARY
This position serves as administrative and clerical support for three Divisions consisting of Surface Water Treatment, Water Production, and Water Transmission. The position assists with and performs some functions in the presence or absence of the Administrative Tech.
ESSENTIAL RESPONSIBILITIESReceives phone calls and relays messages to the proper department.Keeps accurate records about employee uniforms; gets employee-sized for uniforms.Helps organize some data used for tracking purchases.Keeps all office documents filed in a timely and accurate manner.Helps organize some data and data entry used for assets and asset management.Assists the safety liaison for the Osage Divisions organizing safety-related material used for daily lunchbox meetings, safety meetings for staff, and signage for locations.Assists in areas of keeping track of inventoried items and stocking inventory in specific areas.Performs data entry, editing, and printing of maintenance reports; data entry of survey data from Field and Plant Maintenance Forepersons; and entry of any other reports and spreadsheets designated by appointed staff.In-field data retrieval of assets, records, and organization of information for the 3 Divisions.Assists the Administrative Technician with entering payroll for all employees.Periodically organizes events for meetings.Assists in some inter-office communication.Notifies employees when vehicles are due and completed from maintenance. Keeps a running data sheet and log of scheduled vehicle maintenance.Assists in gathering details needed for Purchase orders, including but not limited to obtaining quotes, HUB forms, and creating sole-source letters.Daily retrieving mail from both mailboxes and ensuring outgoing mail is in the proper location.Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a High School Diploma or its equivalent. A valid Texas Driver's License is required. The ability to type a minimum of 30 WPM is required.
KNOWLEDGE, SKILLS, AND ABILITIESRequires typing skills.Ability to use a computer for data entry, word processing, and accounting purposes.Ability to use standard office equipment such as a telephone, calculator, copier, fax machine, and all office-related equipment.Required to adhere to all City and Departmental policies and guidelines.Ability to work independently and in team settings.Ability to practice time management and self-motivation to stay on task.Required to properly accept, transfer, and record telephone instructions, email communications and inter-departmental and Customer needs to the proper channels.
