Position Summary

The Executive Admin (EA) will provide direct support to the Chief Development Officer and VP of Franchise Sales, as well as assisting the Franchise Development departments. The successful Executive Admin will be a dynamic self-starter who shows sound judgement in making decisions on behalf of the CDO and VP for administrative tasks. The EA possess a high level of integrity and discretion in handling confidential information, impeccable attention to detail, and professionalism in interactions with stakeholders (internal and external). The successful Executive Admin will demonstrate effective communications skills, both verbally and written, and show the ability to complete complex tasks and projects quickly and react with appropriate urgency to situations that require quick turnaround.

Responsibilities

Provide excellent executive administrative supportOperate as the point of contact between the CDO, VP, and internal/external stakeholders (i.e. employees, franchisees, etc.)Assist in preparation and distribution of board review materialsTrack and document Preliminary Agreements, Financial Pre-Approvals and Site Registrations for Real Estate.Track and document, as and where required, all relevant information related to contacts, leads, and ANO’sRoutinely approve administrative request (i.e. purchase orders, invoices)Responsible for handling confidential and time sensitive informationManagement of multiple calendars (scheduling, rescheduling, and proactive management of daily schedule)Manage travel arrangementsSupport clerical/admin needs (copying, filing, voicemail, supplies, office set-up, meeting notes etc.)Assist with preparing documents and PowerPoints for executive level meetings, including board meetingsCreate and run reports from CRM system and create ad-hoc reportsSupport daily email by reviewing, filtering, and prioritizingPrepare meeting agendas, presentation materials, minutes, and follow-up on action itemsTimely preparation of expense reportsMaintain efficient documentation and filing system for various education systemsRecognize when project support is neededFlexibility to be available afterhours to support afterhours meeting and handling urgent issuesMinimum Requirements

At least 7 years of experience in executive (C-Suite) administrative support, requiredAbility to prioritize, manage multiple tasks and maintain high level attention to detail, requiredExcellent written and verbal communication, requiredProficient in Microsoft Office (Word/PowerPoint/Excel), MS Teams, Skype, Concur, CRM systems requiredHighly Desired

Education or education services background, preferredStrong verbal and written communication skillsAbility to work with highly sensitive and confidential informationFlexible; able to work in fast-paced environmentThere will be periodic requirements to travel for in-person events, at the discretion of your manager or the requirement of the company.
