A nonprofit organization in New York City is currently seeking an experienced Administrative professional to join their staff as their new Executive Assistant. In this role, the Executive Assistant will be responsible for managing the day-to-day operations of the CDO and CFO, including handling urgent requests directly from the CEO and other senior leaders as necessary.

The Executive Assistant will:

Manage CDO and CFO calendars; optimize team calendars and establish standard processes for how teams leverage themProcess invoices from different vendors, reimbursements and other general expense submissionsManage on-boarding process for new hires; coordinate time-off and timecard reporting to HRCreate meeting agendas and prepare presentation of materials for internal meetingsMaintain and order team suppliesMaintain contact lists for Boards, Fund Managers, and leadership groups; assist with email, phone messages and responsesEnter donor data and contact reports for CDO into Raiser's EdgeLead modernization of Finance records-keeping and document management process with support of Finance leadershipDraft emails and other forms of communication on behalf of the CDO and CFOManage electronic and paper filing systems and maintains accurate recordsPerform other duties, as neededQualifications:

8+ years of of experience in a Corporate and/or Nonprofit or corporate settingHigh School Diploma / GEDWorking knowledge of Raiser's Edge, or similar databaseMicrosoft Office proficientProven skills in Project ManagementSolid problem solving and time management skillsExceptional phone etiquetteGreat interpersonal skillsExcellent communication skills (written and verbal)Strong attention to detailHighly organizedDesired Skills:
