Primary PurposePerform executive secretarial and administrative duties for the President, Executive Vice Presidents or Sr. Vice Presidents.

Duties And Responsibilities

Provide assistance to the executive by handling various administrative details to ensure efficient office operations.

Perform various executive secretarial duties of a technical and/or highly confidential nature.

Screen mail and callers, respond to or route inquiries to appropriate personnel, and bring matters of major importance to the executive's attention.

Research, compile and summarize information to formulate correspondence and to respond to inquiries; follow-up to secure requested reports and data.

Perform typing duties, take and transcribe important and confidential dictation; ensure the confidential handling of announcements and other information.

Assist the Senior Executive Assistants with coordination of executive suites as assigned and/or required.

Arrange and monitor meeting appointments for the executive.

Make travel arrangements, prepare proper forms and follow through with proper expense account preparation.

Provide periodic and short-term relief to other Executive Assistants.

Establish and maintain confidential and specialized files and records.

Maintain familiarity with and status of Company activities.

Note: Incumbents in this position will be paid overtime under provisions in the non-exempt guidelines.

Performs other duties as assigned (no more than 5% of duties).

QualificationsEducation

H.S. Diploma/GED, required.

College level courses or equivalent experience in accounting, bookkeeping and/or statistics, required.

Experience

5+ years of related experience as office manager, administrative assistant, required.

Skills And Abilities

Intermediate mathematical skills and basic algebra.

Must reside in Southern California or be willing to relocate upon hire.

We offer a hybrid work environment. Although the schedule may vary, typically this will allow you to work from the office three days per week and work remotely on the remaining workdays.

Licenses and Certifications

Valid California driver’s license, required.
