This position provides critical services for day-to-day operations of the Wellesley College Science Center stockroom and labs. Primary areas of responsibility include: monitoring purchase requests; buying / receiving consumables (including chemicals and biological materials) for a central stockroom and labs, paying special attention to issues of regulatory compliance; storage / distribution of stockroom and lab materials; maintenance of stockroom and chemical inventory. The position may involve supervision of student employees and will minimally require the incumbent to work effectively with student employees.Essential Duties and Responsibilities:1. Purchasing/Receiving

Utilize established contracts, research consortium contracts and work with Procurement to obtain favorable pricing for the purchase of chemicals, PPE and supplies for a central stockroom and labs in accordance with Procurement policy and processes.Manage, monitor, and implement improvements to the Science Center ordering system; oversee, monitor and track purchase requests; provide regular status updates.Track purchases, resolve shipping issues, and maintain electronic records.Manage College credit card reconciliation in timely manner.Ensure appropriate stock/back-stock for general stockroom inventory.Receive all incoming packages and deliveries paying special attention to issues of regulatory compliance.Distribute packages and materials to main stockroom and to holding areas.Assist faculty/staff in identifying/selecting appropriate scientific instrumentation for new capital purchases.2. Inventory Management

Check supply shipments for accuracy, enter into the supply inventory system.Track and tag capital assets; maintain records of inventory and track disposition.Coordinate with Purchasing and Controller’s Office as needed to address capital equipment audits.Check chemical and biological materials shipments for accuracy, enter into the chemical/biological inventory database and apply barcodes.Manage point-of-sale operation in the stockroom and ensure appropriate charge backs to users.Collaborate with lab managers to establish and maintain stock levels to match need.Conduct physical inventory checks to maintain accurate inventory levels and anticipate needs, including monitoring supply chain to ensure adequate inventory on hand at all times.3. Environmental Health and Safety

Maintain a clean, safe, and well-stocked stockroom.Maintain safety supplies, PPE, and other related materials for science center use.Ensure the College’s health and safety policies are followed.Receive required hazardous materials training for handling and transporting chemicals.Act as point person for DOT shipping and receiving for samples and packages.Ensure that chemical and biological materials are received, inventoried, stored and tracked in accordance with all regulations.Routinely inspect receiving areas and stockroom for safety and take corrective action as necessary; coordinate with laboratory managers, as needed.Participate in safety inspections and emergency preparedness drills.Ensure compliance with safety standards in daily operations, including maintaining readily accessible Material Safety Data Sheets (MSDS) for stockroom inventory.4. Supervision of Student Employees (if warranted)

Recruit, hire, train, and supervise student assistants.Ensure environmental health and safety and other training is current for student employees; provide training on safe chemical handling practices for stockroom student employees and students handling packages.Maintain attendance records and approve timesheets for student employees.Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural academic environment.Physical Demands:Considerable time is spent at a desk using a computer terminal.May be required to stand for prolonged periods, and to walk regularly throughout the day.May be required to move or lift heavy objects, up to 50 pounds.May be required to travel to other buildings on the campus.Work Environment:Typical laboratory / office environment.Laboratories with hazardous materials.Laboratories with equipment noise.Laboratories / Offices with frequent interruptions.Because of the need to monitor incoming packages, this position does not qualify for remote or hybrid work; the incumbent is expected to work on site.Knowledge:Understanding of life and physical science laboratory supplies and equipment.Knowledge of purchasing, accounting, inventory systems, and storeroom management.Knowledge of laboratory glassware names and chemical names.Working knowledge of chemical, physical and biological hazards found in scientific laboratories.Working knowledge of packaging and labeling requirements for shipment of chemical and biological samples.Knowledge of DOT shipping regulations pertaining to packaging/receiving/handling of scientific materials.Skills:Proficiency with Workday, Microsoft Office suite, Google workspace, and databases.Technical proficiency with inventory-management tools and procurement systems.Excellent customer service and communication skills.Excellent organizational skills with attention to accuracy and detail.Demonstrated ability for attention to details, problem solving, and prioritization.Demonstrated ability to work successfully in both a team environment and individually.Willingness to take initiative and be flexible while working with a team.Abilities:Ability to learn new laboratory supplies, equipment, and chemicals.Ability to hire, train, and supervise student workers.Ability to work independently and exercise sound judgment.Ability to establish and maintain effective working relationships with students, staff, and faculty.Ability to maintain confidentiality and use discretion.Ability to perform physical tasks related to stockroom management requiring strength and physical agility.Demonstrated ability to balance and respond to a complex and wide variety of demands.Company DescriptionWellesley’s mission is to provide an excellent liberal arts education to women who will make a difference in the world. Master’s degree in a physical science such as Chemistry, Biochemistry, Biology, Physics, Engineering, or similar field preferred.Course work in Hazardous Materials Management preferred.3-5 years of directly applicable work experience required.
