This role is onsite 3 days/week.
Position SummaryProvide high level executive administrative support to the President, OWN including extremely heavy schedule and travel management, expense reports, sensitive communications, and acting as liaison to top executives both internally and externally.
The Executive Assistant will partner closely with the Operations Specialist to ensure seamless support for the President, OWN.
Responsibilities:
Maintain a complex and extremely detailed calendar.
Ability to prioritize meeting requests and related logistics.
Handle a high-volume of emails.
Coordinate complex senior level internal/external meetings.
Draft correspondence.
Coordinate high volume of domestic travel arrangements.
Book travel including flights, hotels, transportation, restaurants.
Maintain OOTP travel database.
Process monthly expense reports using Concur.
Process invoices and purchase orders.
Track and process various subscriptions, Boards and association dues.
Research and order gifts.
Order catering for in office lunches.
Interact with high-level business leaders in a professional and effective manner.
Maintain office supplies for OOTP.
Assist with cross departmental projects on an as needed basis.
Assist with special projects, research and compiling information as needed.
Assist with companywide events.
Send out multiple reminders daily.
Maintain database for OOTP.
Skills:
Have to be able to multitask and prioritize needs and have a strong sense of follow-through.
Have excellent attention to detail and very strong organisational skills.
Have strong interpersonal skills while understanding the importance of maintaining confidentiality.
Act as a liaison between executives and various guests.
Excellent listening and communication skills.
Experience with Google workspace.
Requirements:
Collaborative team player.
Excellent administrative, critical reasoning, and problem-solving skills.
Must have significant experience and demonstrated competency in providing senior executive administrative assistance (5+ years’ experience preferred).
Experience supporting a high-level executive in Media or a related field.
Detailed & process oriented.
Thrive in high energy, high profile, positive, proactive, deadline driven, results oriented, client service, dynamic, and attention to detail environment.
Must demonstrate confidentiality and flexibility in accepting new and changing responsibilities.
